Job Description

Position : Project And Business Officer

Company : PT Citra Komunikasi Utama

Location : Jakarta, Indonesia

Direct Supervisor : Project Director

Status : Full-Time Employee

We are looking for a highly structured and detail-oriented Project Administration Officer to ensure all administrative, contractual, and client communication aspects of assigned projects run in an organized and timely manner. This role plays a critical part in maintaining project discipline, documentation accuracy, and coordination across stakeholders.

What You Will Do

· Prepare, review, and archive all tender and contract documents in coordination with the Project Director

· Verify subcontracting clauses and ensure compliance with client contracts (§1, §6)

· Compile and submit periodic project progress reports (weekly/monthly) to clients

· Act as meeting secretary for client meetings and distribute Minutes of Meeting (MoM) within 24 hours

· Monitor project milestone timelines and proactively remind stakeholders of upcoming deadlines

· Support invoicing and billing processes in alignment with contract schedules

· Ensure all project documentation is well-organized, accurate, and audit-ready

· Coordinate with internal and external stakeholders to maintain smooth project execution

Key Performance Indicators (KPI)

· 100% of tender/contract documents submitted before deadline

· MoM distributed within ≤ 24 hours after meetings

· Zero delay in periodic client reports per quarter

· Invoicing cycle time ≤ 7 working days from milestone acceptance

What We're Looking For

· Bachelor's degree (S1), preferably in Management, Business Administration, Informatics Engineering, or Telecommunications Engineering

· 1–3 years of experience in project administration, coordination, or procurement roles

· Proficient in Microsoft Office (Word, Excel, PowerPoint)

· Familiar with basic project management tools (Trello, Notion, or similar)

· Strong formal written communication skills in Bahasa Indonesia; English proficiency is a plus

· Highly detail-oriented, disciplined with deadlines, and capable of multitasking

· Able to work in a structured and fast-paced environment

Nice To Have

· Experience handling government or BUMN procurement/tender documentation

· Certification such as CAPM, PMI-ACP Foundations, or Scrum Fundamentals
