We are looking for a highly organized and proactive Executive Assistant to support senior leadership and ensure smooth day-to-day executive operations.
Responsibilities
- Manage information flow in a timely and accurate manner
- Manage executives calendars, schedule meetings, and coordinate priorities
- Ensure meeting readiness including venue, materials, and logistics
- Record and prepare Minutes of Meeting (MoM) and follow up on action items
- Prepare slides, reports, presentations, and executive documents
- Track daily expenses and prepare periodic reports (weekly / monthly / quarterly)
- Prepare and format internal and external communications (emails, memos, presentations, reports)
- Provide personal and administrative support for daily activities, office matters, and business trips
- Coordinate and accompany executives to meetings, business events, and official engagements when required
- Handle confidential matters with discretion and professionalism
- Support special projects and perform other duties assigned by senior management
Qualifications
- Minimum Bachelor Degree (S1) in Management, Business Administration, or related field
- Minimum 37 years experience as Executive Assistant / Personal Assistant supporting senior management or C-level
- Excellent English communication skills, both spoken and written
- Strong communication, administrative, and stakeholder coordination skills
- Proven experience managing executive calendars, meetings, travel arrangements, and executive documentation
- High level of discretion and professionalism in handling confidential matters
- Strong organizational skills, attention to detail, and ability to multitask under pressure
- Proficient in Microsoft Office (PowerPoint, Excel, Outlook) and scheduling tools
- Proactive, independent, and able to anticipate executive needs
- Willing to work extended hours, weekends, or public holidays if required (compensated accordingly)
- Willing to be placed in Central Jakarta
