About the Role
The Administrative Specialist will play a crucial role in supporting the daily operations of the Administration Department, ensuring smooth office management and effective communication.
Responsibilities
- Administrative & Office Management
- Manage daily office operations.
- Handle incoming and outgoing company correspondence, couriers, and documents.
- Assist in organizing and arranging company meetings, events, and business trips, including preparing meeting minutes and necessary materials.
- Maintain and update employee records, contracts, and other administrative documents (ensuring compliance).
- Provide necessary administrative support to other departments.
- Basic Accounting & Financial Support
- Assist in the preliminary review, sorting, and recording of employee expense reimbursements.
- Manage daily petty cash transactions and maintain records of small cash expenditures.
- Assist in reconciling bank statements and basic accounts.
- Organize, archive, and manage financial documents and vouchers (e.g., invoices, receipts, contracts).
- Assist in preparing basic financial reports and monthly statements (e.g., expense summaries).
- Collaborate with accountants or the finance department to support monthly and annual audits and tax filing preparations.
- Chinese Translation & Communication Coordination
- Assist in handling business matters related to China, facilitating effective cross-cultural communication.
Qualifications
Relevant educational background in administration, finance, or a related field.
Required Skills
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Basic understanding of accounting principles.
- Fluency in Chinese is a plus.

- Experience in administrative roles.
- Familiarity with financial software.
