Position Overview

As a Receptionist & GA Admin you will serve as the first point of contact for all visitors and external inquiries, creating a positive and professional impression of the company. This role is crucial for maintaining the smooth and efficient operation of the office by providing comprehensive administrative and general support to all departments. The ideal candidate is a highly organized, proactive, and friendly individual with excellent communication skills and a strong ability to multitask.

Key Responsibilities

  • Greet and welcome visitors in a professional and friendly manner, managing a visitor sign-in process and notifying the appropriate staff member of their arrival.
  • Answer, screen, and direct all incoming phone calls, taking accurate messages and providing general company information.
  • Receive, sort, and distribute all incoming mail and deliveries, and coordinate outgoing mail and courier services.
  • Manage the company's meeting room schedules, ensuring rooms are properly set up and ready for use.
  • Monitor and maintain a sufficient inventory of office supplies, placing and verifying orders as needed.
  • Perform essential administrative tasks, including data entry, filing, and managing company records.

Qualifications

  • Minimum bachelor's degree from any major.
  • Preferrably has prior experience as a receptionist.
  • Has good communication and interpersonal skills.
  • A high degree of professionalism and a friendly, service-oriented attitude.
  • Excels in email correspondence.
  • Ability to work independently and as part of a team.
  • Understands front office system.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
