The Role
We are seeking a commercially driven and entrepreneurial Procurement Specialist to spearhead our go-to-market execution in Indonesia. The Procurement Specialist is responsible for the end-to-end acquisition and maintenance of inventory levels. This role balances automation of routine tasks, process design, and strategic vendor negotiations to drive key business outcomes. We are a data-driven tech-first organization. The ideal candidate is someone who is open-minded, curious, and willing to learn about utilizing new technologies and systems to optimize the business. The candidate will be working cross-functionally with other parts of the organization including but not limited to fulfillment, warehouse operations, and sales.
What You'll Do (Key Responsibilities)
1. Strategic Sourcing & Negotiation
- Vendor Acquisition: Proactively identify and onboard high-quality suppliers to ensure a competitive and diversified supply base.
- Cost Optimization: Lead negotiations on unit pricing, payment terms, credit limits, and working arrangements to improve cash flow and minimize inventory risk.
- Contract Management: Conduct regular performance reviews and renegotiate contracts to protect the business against market fluctuations.
2. Procurement Operations (Odoo)
- PO Management: Execute the full Purchase Order lifecyclefrom initial drafting to tracking delivery timelines and payments.
- Data Integrity: Maintain accurate vendor master data, lead times, and unit costs. Ensure the ERP remains the single source of truth.
- Landed Costing: Accurately calculate and input all associated costs (freight, tax, handling) to ensure precise inventory valuation.
3. Compliance & The 3-Way Match
- Validation: Perform rigorous 3-way matching (Purchase Order vs. Goods Received Note vs. Invoice).
- Discrepancy Resolution: Liaise with Warehouse and Finance teams to resolve variances in quantity or pricing before authorizing payments.
- Audit Readiness: Ensure all procurement documentation is filed systematically for internal and external audits.
4. Process Design
- Efficiency: Identify and eliminate bottlenecks in the procurement-to-warehouse workflow.
- Alignment: Coordinate with Warehouse staff to ensure physical receiving protocols align with digital records.
Qualifications
Must-Haves:
- Experience: Minimum 3 years in procurement, ideally within FMCG or distribution.
- Systems: Advanced proficiency in ERP systems is mandatory (Odoo experience is a significant plus).
- Analytical Skills: Strong negotiation tactics, analytical thinking, and a high attention to detail regarding data accuracy.
- Location: This is an office-based role in South Jakarta requiring real-time coordination across departments.

- Experience working with medical suppliers/vendors.
- Existing network in the Indonesian veterinary or pet industry.

Reporting Structure
In this role, you will report directly to the Supply Chain & Fulfillment Manager of Pet Farma Indonesia, but will be working closely with the founders to drive execution along the company's strategic objectives.
