Initiated planning and execution of buildings management, infrastructure, and services to support the working area & environment of Head Office Building is safe, healthy, tidy, efficient, and conducive to productivity of the employe and visitors.
Build relation and working closely with buildings management to support Kraft Heinz Office activities and getting updated information related to building management arrangements.
Space Management: oversee the allocation and utilization of space, including layout, design, and maintenance
Lead the renovation project related to site space management, from initiated discussion with related stakeholders, budget allocation & management, vendor selection, manage construction execution within timeline.
Health management: ensure the health of the working environment is well managed and tidy; manage waste management and its supporting facilities and activities.
Security management: ensure the security system is running well by working closely with building management, providing security facilities e.g. CCTV, and other related necessary facilities.
Transportation Management (Operational Car): assure operational car usage for employees and related activities, including car maintenance and driver management.
Purchase Management handles relevant purchase orders and payments over asset OR operational partners.
Administrator: ensuring provision of material, services, contractual obligations that are relevant.
Assets Management:
Conducting and monitoring a full end-to-end service coverage for the following that supports Assets Service, e.g. working area infrastructure, Mailroom, Reception, Housekeeping, Pest Control/Landscaping, plumbing/lighting, signing
Maintenance: includes office buildings (cleanliness, exterior appearance), office environment (including parking), cleanliness of the work environment for employees (workspace, meeting rooms, lobby and all areas of the company), and maintenance of electrical installations (mechanical and electrical)
Mandatory scopes include General Services, building assets provision and maintenance, electricity maintenance, labor permits, and 5S for headquarter office implementation.
Operational Services:
Lead supporting team e.g. OB, Messenger, Receptionist, Driver to execute the facility management functions.
Conducting and monitoring full end-to-end service coverage for the following that supports Operational Services, e.g. Storage/Archiving, Cleaning, Waste management, Supplies, Coffee/water, support services, car management (full end-to-end is defined as maintaining good relationships, making work contracts, ensure timely payments, performance monitoring, and making complaints on behalf of company if necessary)
Maintain supplies for pantry, office, & related permits, 5S Head office implementation.
Others:
Budget Management: Ensures budget compliance for General Affairs budget
Manage agreement management for 3rd party vendor and transportation rental
Ensuring emergency team, safety protocols, and accident registration is relevantly managed
Develop and assure availability of safety guidelines, manage communication with the related PIC, and manage the implementation
Ensure security of the office and support crisis management team for security
Develop security process and guidelines align with building management.
Liaise with security services institutions should be necessary to assure safety of employees
REQUIREMENTS
Education Background: Bachelors degree in civil/Architect Engineering/Management major is preferred
Min.4-5 year of working experiences in related area
Proficient in computer system skills and fluent in English; decent knowledge in people Management; good knowledge in labor laws and regulations (specifically related 3rd party), event design & planning skills
Excellent presentation, communication and interpersonal skills with good management & team building skills, pragmatic problem solving & negotiation and mediation skills, self-driven with good ethics and ability to be discrete and keep confidential information
