We are seeking a dedicated and experienced GA Supervisor to be a vital part of our General Affairs team. In this pivotal role, you&aposll be instrumental in coordinating daily operations, ensuring our office environment is efficient, well-maintained, and fully supportive of our team&aposs success. As our GA Supervisor, you&aposll be the backbone of our operational efficiency, working closely with the Senior Office Manager to maintain a seamless and productive workplace. You&aposll take ownership of a diverse range of responsibilities, from managing our facilities and resources to ensuring we have everything we need, all while upholding our commitment to cost-effectiveness and compliance.

Job Descriptions

General Affairs Operations

  • Handle daily GA tasks, including office maintenance, housekeeping, utilities, and supplies management.
  • Monitor inventory of office supplies, pantry items, and equipment, ensuring timely procurement and cost efficiency.
  • Manage asset records, including allocation, maintenance schedules, and usage tracking.
  • Coordinate company vehicles, drivers, and transportation scheduling.
  • Support in the renewal and compliance of company permits, licenses, and vendor contracts.
  • Creating a Sponsor Letter for People coming from overseas (group)

Vendor & Facility Management

  • Act as liaison with vendors for cleaning, security, building maintenance, and other GA-related services.
  • Inspect facilities regularly and report maintenance issues to the Senior Office Manager
  • Assist in monitoring vendor performance and evaluating service quality.
  • Maintain the Agreement for the vendor.

Administrative & Reporting

  • Prepare reports related to GA operations (supplies usage, transportation, vendor expenses, etc.).
  • Support GA budget preparation and ensure expenses align with the approved budget.
  • Assist in implementing GA policies and standard operating procedures.

Support & Coordination

  • Provide support for company events, meetings, and employee activities (logistics, facilities, refreshments).
  • Coordinate with internal departments for GA-related requests and problem resolution.
  • Support the Senior Office Manager in leading GA staff when needed.

Job Qualifications

  • Bachelors degree in Business Administration, Management, or related field.
  • Minimum 24 years of experience in General Affairs, Administration, or Facility Management.
  • Good understanding of GA operations (facilities, security, transportation, procurement).
  • Strong organizational and problem-solving skills.
  • Good communication and negotiation abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
