The Need

IJM is seeking a competent Data Management Associate to support day-to-day data management and information systems activities. The candidate will use their analytical skills and experience to ensure data accuracy, integrity, and accountability among field office staff and IJM partners; participate in data collection, entry, validation, and reporting processes; and support the maintenance of databases and data systems in line with IJM's policies and standards. The individual must share IJM's values and demonstrate a strong passion for its mission and vision.

This position is based in Jakarta, Indonesia and reports to the Program Measurement Specialist. It is only open to Indonesian nationals

Responsibilities

Project M&E and Data Management

  • Coordinate with respective data owners to collect, revalidate, analyze, and consolidate all detail data relevant for submission into the Justice Data Solution (JDS) system and ensure IJMI compliance to the JDS requirements.
  • Identify gaps, challenges, and or issues related to JDS and facilitate problem solving with IJM's JDS's project team.
  • Prepare and or set-up necessary dashboard needed for IJMI management for their decision making, using or downloading from JDS platform.
  • Assist Program Measurement Specialist in designing, modifying, and maintaining internal data management system when appropriate to feed into different data submissions included JDS.
  • Innovation to simplify internal system that non-redundant and adding value to the overall M&E objectives of the organization
  • Co-facilitate discussion using data evidence to encourage innovative project discussion on interventions or initiatives.
  • Support implementing partners in ensuring proper data requirements in their project in compliance with IJMI's requirements.
  • Co-facilitate MERL related initiatives in assistance to the Program Measurement Specialist, such as program annual review, monitoring visit, evaluation, etc.
  • Assist Program Measurement Specialist and/or other team leaders in designing tools for quantitative data collection or research to support program learning.

Policies and Procedures

  • Ensure proper application of organization's policies and procedures in data management process and hold into account implementing partners compliance to IJMI's and donors policies and requirements.
  • Ensure data protection policy is specifically understood and applied by all IJMI's staff.

Networking & Partnership

  • Engage and maintain relationships that foster collaboration and partnership with key stakeholders primarily implementing partners responsible for data management, and IJM's relevant teams (JDS team, regional Program Measurement/MERL etc.).
  • Participate and contribute as IJMI representatives in network, coalition, or any forum relevant to integration of data on forced labor and slavery (FLS) and/or trafficking in person (TIP), as part of data management dimension of the program's approach and initiatives.
  • Engage and maintain relationships with key government's staff relevant for data management and contribute to IJMI's objective in data management as directed in the strategic plan.

Reporting & Data Administration

  • Prepare required reporting in alignment to the organization's requirements relevant to data management.
    • Keep and maintain proper documentation relevant to data collection and submission with proper data and document back-up mechanism.
    • Assist Program Measurement Specialist in realizing proper knowledge management system for IJMI that is accessible and effective for use of program learning and decision making.
    • Keep abreast of data safety, security, and protection, in coordination with relevant IJM people responsible for data protection.
General Tasks

  • Keep abreast of the organization's plan and results by participating in team meetings as necessary and a variety of internal and external program activities.
    • Participate in external meetings and events as needed and provide critical analysis and feedback.
    • Ensure accuracy in handling office money and follow the finance policies and guidelines in settling expenses and making payments.
    • Travel from time to time for meetings, cases or conferences; and
    • Maintain confidentiality of privileged and sensitive information.
Requirements

  • Bachelor's degree in Statistics, Sociology, Anthropology, Social Work, or a related field.
  • Minimum 5 years of experience in Data and Information Management or/and Monitoring, Evaluation, and Learning (MEL); experience in Data Management with non-profit organizations is preferred.
  • Proven ability to manage complex and large-scale data systems; experience in data mining is an advantage.
  • Experience in statistics or quantitative research is an added value.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Power BI, etc.); familiarity with statistical or data collection tools such as Kobo, SPSS, and similar platforms is an advantage.
  • Strong skills in statistical analysis and data interpretation are added value.
  • Experience working with Data and Information Management Systems.
  • Familiarity with digital data collection and processing tools or applications.
