Warehouse & Supply Chain Specialist

Jakarta, Indonesia | Full-time

We are looking for a Warehouse & Supply Chain Specialist to manage our end-to-end warehouse operations and regulatory compliance in Indonesia. This role combines expertise in warehouse management, regulatory affairs,customer service and pharmacist responsibilities to ensure smooth supply chain operations and timely product registration with the Ministry of Health (MoH) and LKPP ekatalog Inaproc Version 6.

Key Responsibilities Warehouse Management (A–Z)

  • Oversee all daily warehouse operations including receiving, storage, picking, packing, distribution, and returns.
  • Ensure proper handling, storage, and inventory control of non-electromedic sterile medical devices.
  • Implement and monitor CDAKB/GDPMD (Good Distribution Practice for Medical Devices) standards.
  • Manage inventory accuracy through cycle counts, stock reconciliation, FEFO/expiry management/FIFO procedure, and quarantine procedures.
  • Implement SOPs for recalls, product returns, and defective items in coordination with regulatory and QA.
  • Supervise warehouse documentation (logbooks, receiving reports, delivery notes, stock cards, another requirement related with medical device industry.
  • Maintain warehouse documentation: stock cards, expiry management, quarantine, and recall procedures

Demand Product Management

  • Develop, maintain, and conduct monthly and annual sales forecasts to support business planning.
  • Monitor and analyze demand trends, market dynamics, and customer requirements to ensure accurate forecasting.
  • Collaborate with cross-functional teams (sales, marketing, operations, finance) to align forecasts with business objectives.
  • Manage inventory planning and control to optimize stock levels and minimize shortages or excess.
  • Prepare and present forecasting reports and insights to management for strategic decision-making.
  • Support supply chain optimization initiatives, including process improvements and efficiency projects.
  • Ensure compliance with company policies and industry regulations in all supply chain activities.

Regulatory Affairs

  • Act as Vice Pharmacist and ensure compliance with STRA and MoH regulations.
  • Prepare, review, and submit product license applications and maintain the standard quality and Manage regulatory dossiers for IDAK, CDAKB, and AKL submissions to MoH.
  • Manage product registration with LKPP Inaproc Ekatalog Version 6 (Lembaga Kebijakan Pengadaan Barang/Jasa Pemerintah) for e-catalog inclusion.
  • Maintain up-to-date regulatory files and ensure timely renewals of licenses and certificates.
  • Coordinate with MoH officials, consultants, and internal stakeholders for product approvals.
  • Manager and Handle LKPP (E-Katalog) product registration and listing to support government procurement channels and also manage end to end procurement processes within the LKPP platform.

Cross-Functional Collaboration

  • Work closely with Regional Regulatory Officer, Customer Service, Finance, and Local Sales teams to ensure smooth product flow.
  • Coordinate with distributors/sub-distributors for product compliance and delivery.
  • Support audits by internal teams, external auditors, and government agencies.
  • Provide regulatory guidance to business teams on product labeling and importation requirements.

Job Qualifications – Requirements

Education & License

  • Bachelor's degree in Pharmacy (Apothecary Program).
  • Hold an Active STRA (Surat Tanda Registrasi Apoteker).
  • Eligible to act as Vice Pharmacist (Apoteker Pendamping) for warehouse license purposes.

Qualifications

  • Bachelor's degree in Pharmacy is an advantage, Science, Engineering, or related field.
  • Minimum 3 years experience in warehouse management, preferably in medical device or pharmaceutical industries.
  • Prefer additional skill with experience in regulatory affairs, specifically in MoH product registration (IDAK, CDAKB, AKL) and LKPP e-catalog Inaproc Version 6 registrations.
  • Proven experience in demand forecasting, inventory management, and sales forecasting (preferably in healthcare, pharmaceutical, or medical device industries).
  • Strong analytical skills with proficiency in forecasting tools, ERP systems,power BI and Microsoft Excel.
  • Excellent communication and collaboration skills to work effectively with cross-functional teams.
  • Ability to manage multiple priorities, meet deadlines, and adapt to a fast-paced environment.
  • Detail-oriented, proactive, and capable of providing actionable insights from data analysis.
  • Fluency in English; additional languages are an advantage.

Other Requirements

  • Willingness to be based in the warehouse site and HQ Office.
  • Ability to liaise confidently with government officials, consultants, and external auditors.
