Job Description

Responsibilities:

Inbound
Coordinate receiving from suppliers, boutiques, and customer returns
Check quantity, SKU, batch/expiry dates (for cosmetics), and packaging condition
Ensure QC is completed before stock entry
Update Zoho/ERP system status
Inventory Control
Maintain stock accuracy and organized storage
Implement FIFO/FEFO for cosmetics and fashion items
Conduct stock counts and investigate discrepancies
Outbound
Prepare picking and packing for delivery
Double-check SKU, size, shade, and batch details
Ensure safe handling (no scratches, stains, or leakage)
Ensure on-time delivery (OTD) in line with agreed SLAs
Monitor order processing timelines from picking to shipment
Coordinate with Sales Admin and couriers to avoid delays
Track and report delivery performance and SLA compliance
Proactively flag potential delays and take corrective action
Quality Control
Ensure QC checklists are completed
Flag damaged, expired, or defective items
Follow SOPs for handling fashion and cosmetic products
System & Reporting
Update systems in real time
Maintain stock reports and document traceability
Track slow-moving and aging stock
3rd Party Logistic and Vendor Management
Manage and coordinate with 3PL providers for daily operations
Monitor 3PL performance to ensure on-time delivery and SLA compliance
Handle communication and issue resolution with local logistics vendors
Evaluate vendor performance, cost, and service quality regularly
Ensure proper documentation and smooth handovers between warehouse and logistics partners
Team Coordination
Coordinate with cross-functional teams such as MD, Operations, Sales, Marketing, and Logistics
Conduct daily briefings and training on handling standards
Compliance & Audit
Assist with internal and external audits related to inventory and warehouse operations
Prepare required documents and support stock verification
Assisting Company Activities
Support the preparation of items and arrange deliveries for off-site marketing activities

Requirement & Qualifications:

Minimum Diploma or Bachelor's degree in Logistics, Supply Chain, Business, or a related field
25 years of experience in warehouse or inventory operations (fashion or cosmetics industry preferred)
Strong knowledge of inventory management, FIFO/FEFO, and stock control
Familiar with ERP/WMS systems (Zoho or similar platforms)
Good understanding of handling standards for fashion and cosmetic products
Strong attention to detail and accuracy
Good coordination and communication skills
Comfortable working in a fast-paced operational environment and meeting SLA targets
Basic knowledge of compliance and audit processes is a plus
