Job Description

Role Summary:

The Villa Manager is responsible for managing vacation rental properties and ensuring that they are in good condition and ready for guests. They will supervise staff, including cleaning, pool, and garden staff, and coordinate with contractors and service providers for maintenance and repairs. The Villa Manager will also be responsible for guest services, including check-in and check-out procedures, responding to guest needs and concerns, and collecting feedback from guests.

Key Responsibilities:

Check-in and Check-out:

  • Ensure smooth check-ins and check-outs for guests.
  • Confirm property readiness: inventory, electricity, Wi-Fi, and supplies.
  • Monitor check-out process and address missing inventory for billing.

Guest Experience:

  • Collect guest feedback and maintain accurate records.
  • Respond to guest concerns within 24 hours.
  • Ensure guest comfort and satisfaction during their stay.

Property Management & Maintenance:

  • Conduct property inspections and arrange necessary repairs.
  • Oversee cleanliness and maintenance with contractors and in-house staff.
  • Ensure utilities are paid on time and inventory is updated regularly.

Staff Management:

  • Train and supervise housekeeping, maintenance, and garden staff.
  • Ensure staff follow SOPs and resolve performance issues.
  • Evaluate staff monthly and onboard new hires as needed.

General:

  • Assist with property viewings for Sales and Booking teams.
  • Coordinate with internal teams for property management tasks.
  • Restock supplies, pay utility bills on time, and report petty cash expenses.

Reporting:

  • Submit monthly property inventory and staff appraisal reports.
  • Provide quarterly maintenance reports to the Maintenance Project Manager.
  • Report expenses and other updates regularly to management.

Qualifications:

  • Experience in property management, preferably in vacation rentals;
  • Strong leadership and communication skills;
  • Fluent in English spoken and written;
  • Ability to work well under pressure and handle multiple tasks simultaneously;
  • Knowledge of property maintenance and repair procedures;
  • Familiarity with booking management systems, such as Airbnb orBooking.com.
