We're Hiring: Personal Assistant
Kibarer Property is looking for a reliable and proactive Personal Assistant to support our leadership team in a fast-paced hospitality and property environment. This role requires strong organization, discretion, and the ability to manage multiple priorities efficiently.
Responsibilities:
- Support HR documentation, including contracts and NDAs, ensuring accuracy, proper review, and organized filing in line with company standards and confidentiality.
- Manage legal documentation processes, including preparation, coordination, approvals, and compliance with internal and external requirements.
- Contribute to property residence operations by handling guest inquiries from initial contact to deal closure, including booking coordination and vendor communication.
- Assist in managing in-house guests, responding to requests and supporting the residence team to ensure a seamless and high-quality guest experience.
- Participate in group-wide projects, including venue and construction-related initiatives, with exposure to contracting, logistics documentation, and real estate operations.
- Collaborate across all departments and venues in a fast-paced, deadline-driven environment, ensuring effective communication and coordination with internal teams and external vendors.
- Manage and monitor calendars, meetings, and schedules, ensuring efficient coordination and smooth daily operations.
- Handle correspondence (emails, calls, and follow-ups) in a professional and timely manner.
- Coordinate end-to-end travel arrangements, including bookings, visa processes, and overall travel logistics.
- Oversee revenue reporting and expense tracking, ensuring proper documentation and approval processes.
- Support content creation and distribution for newsletters and marketing communications, collaborating with the listing team to curate and produce weekly newsletters.
- Contribute to both administrative and creative tasks, including content creation and basic visual design (e.g., Canva).
- Utilize digital tools such as Google Workspace and Notion to support efficient workflows and team collaboration; familiarity with additional and customer support tools is a plus.
- Assist with daily operational and ad-hoc tasks as required.
Requirements :
- Based in Bali (on-site).
- Fluent in English communication (written and spoken).
- Bachelor's degree in Hospitality, Business Administration, or a related field is preferred.
- Proven 3 years experience as a Personal Assistant or in a similar role.
- Strong multitasking abilities with excellent attention to detail.
- Highly organized, professional, and able to handle confidential matters with discretion.
- Ability to work efficiently in a fast-paced environment and meet tight deadlines.
- Able to prioritize tasks effectively and maintain accuracy under pressure.
