Job Description

Responsibilities :

  • Handling schedules for BOD by maintaining an organized and up to date calendar.
  • Coordinating executive communications, including taking calls, responding to emails, and liaising with clients and colleagues, ensuring professional and timely responses.
  • Performing front desk duties such as welcoming guests, answering general inquiries, and directing calls or visitors to the appropriate parties.
  • Resolving meeting conflicts efficiently while prioritizing the needs of multiple stakeholders.
  • Organizing and coordinating company events, meetings, and other special projects as required.
  • Managing travel arrangements and providing relevant background information in advance.
  • Handling expense reports and reimbursements for executive
  • Assisting in the planning and execution of executive led projects and initiatives.
  • Supporting the executive team in ad hoc special projects and other administrative duties.
  • Monitoring and maintaining office supplies, especially stationery (ATK), ensuring sufficient stock and timely replenishment.
  • Supporting HR administrative functions as needed.
  • Managing correspondence with internal departments, external partners, and government institutions in a professional and timely manner.
  • Preparing and maintaining reports, documentation, and meeting minutes for management review.

Requirement :

  • Minimum 3 years of administrative experience supporting C-level executives.
  • Bachelor's degree in business administration, Management, or a related field.
  • Proven experience as a Personal Assistant, Secretary, or similar role.
  • Excellent organizational and multitasking skills with attention to detail.
  • Able to write and speak English fluently.
  • Excellent computer literacy, proficient in Microsoft Office and various digital applications/tools.
  • Fast, accurate, neat, honest, friendly, and capable of multitasking effectively.
  • Strong communication and interpersonal abilities.
  • Willingness to travel when required.
  • Demonstrates professionalism, integrity, and confidentiality.
