Responsibilities

The Operations Administrator is responsible for streamlining the administrative flow between internal divisions, the logistics team, and external partners. This role focuses on meticulous data recapitulation, stock tracking via 4PL partners, and managing procurement-related finances through project management tools. You will ensure that every internal request is recorded accurately and that all financial obligations to manufacturers and vendors are processed on time to maintain seamless business operations.

Job Descriptions

  • Recap and process daily, weekly, and monthly product requests from all internal divisions to maintain accurate stock tracking.
  • Act as the primary administrative liaison between the company and the 4PL (warehouse) provider to monitor internal stock movement.
  • Manage and facilitate payment confirmations (Down Payments and Final Settlements) to manufacturers via Asana/Project Management tools.
  • Execute the administrative process for Purchase Order (PO) submissions through internal systems.
  • Handle administrative requirements for vendor payments, including procurement of packaging materials (stickers, boxes, etc.) and other operational needs.
  • Coordinate actively with internal PICs to ensure all requests and follow-ups are handled within the agreed timelines.

  • Bachelor's degree in Business Administration, Logistics, Management, or a related field.
  • 12 years of experience in operations administration, supply chain, or a similar role.
  • Strong proficiency in Microsoft Excel (for data recap) and familiarity with project management tools (e.g., Asana).
  • High level of attention to detail, especially regarding financial documentation and inventory tracking.
  • Ability to work effectively in a fast-paced environment and handle multiple administrative tasks simultaneously.
  • Excellent communication and coordination skills to bridge internal needs with external providers (4PL & Vendors).
  • Strong organizational skills and a proactive approach to problem-solving.
  • Honest, disciplined, and capable of maintaining accurate records.
