Job Description

Job Summary :

The Operations Admin is responsible for supporting the Head of Operations in overseeing daily operational activities across the entire operations team and ensuring that all operational procedures are carried out consistently and in accordance with company standards.

Key Responsibilities :

Operational Oversight

  • Support the Head of Operations in supervising daily operational activities across all operational teams (Area Managers, Villa Managers, Butlers, Housekeeping, Engineering, Pool Attendants, and Gardeners) via Breezeway.
  • Ensure that all operational procedures are carried out consistently and in line with company standards.
  • Monitor key performance indicators (KPIs) to assess operational efficiency and service quality.
  • Track and follow up on complaint tickets for the operational team through Lark.
  • Monitor guest ratings and negative reviews through Hostify.

Staff Supervision & Development

  • Assist in the supervision of the operational team.
  • Provide support, direction, and motivation to staff to maintain high performance and strong morale.
  • Assist in recruitment, onboarding, and performance evaluations of staff.
  • Monitor staff schedules and attendance to ensure effective daily operations.
  • Distribute tasks both via Lark and in person as needed.
  • Collect monthly reports and assignments from Area Managers, Villa Managers, and Building Managers.

Coordination & Communication

  • Act as a liaison between the Head of Operations and all sub-operational departments, as well as with other departments, to ensure smooth communication and task execution.
  • Participate in regular interdepartmental meetings to coordinate tasks, resolve issues, and improve operational efficiency.
  • Collaborate with other departments such as Customer Support, Reservations, Administration, and Marketing to support business goals and excellent guest service.

Reporting & Documentation

  • Assist in preparing daily, weekly, and monthly reports to be submitted to the Head of Operations.
  • Monitor inventory, maintenance reports, and staff activities using digital platforms such as Breezeway or other internal tools.
  • Maintain accurate and complete documentation for all incidents, inspections, and operational checklists.

Project Support

  • Support the implementation of operational projects or facility upgrades as assigned by the Head of Operations.
  • Coordinate with vendors, contractors, or suppliers as needed.
  • Provide logistical and administrative support during high season, special events, or emergency situations.
