This position will support daily operations by managing a wide range of administrative, financial, and logistical tasks. This role involves coordinating office activities, handling documentation and records, supporting staff needs, and assisting cross-department functions to ensure smooth and efficient business operations.
Key Responsibilities:
- Develop, monitor, and maintain timelines for all ongoing projects to ensure timely execution.
- Coordinate with relevant departments to ensure the completeness and accuracy of all project documentation.
- Collect project-related records and promptly inform the team of customer requests, inquiries, and complaints for follow-up actions.
- Handle all administrative requirements, including preparation and management of letters and related documents, accurately and on time.
- Collaborate with the Finance department to support billing processes in accordance with project terms.
- Maintain complete, accurate, and well-organized documentation for each project.
- Ensure partner-related documentation is complete and properly filed for each fiscal year.
- Maintain a neat and systematic filing system for all project documents, both physical and digital.
- Perform other administrative and coordination tasks as assigned by management.
Requirements:
- Bachelor's degree in Business Administration, Management, Accounting, Office Administration, or a related field.
- Minimum 12 years of experience in project administration, administrative support, or a similar role (fresh graduates are welcome to apply).
- Strong organizational and documentation management skills with high attention to detail.
- Good coordination and communication skills, with the ability to work across departments.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Able to manage multiple tasks, meet deadlines, and work in a structured and systematic manner.
- Detail-oriented, responsible, and able to handle administrative tasks accurately.
- Willing to perform additional tasks as assigned by management.
