Job Description

About the Role

The General Affairs Supervisor is responsible for the day-to-day oversight of facility operations and the company's vehicle fleet and driver team. This role ensures that all office/facility infrastructure is well-maintained and fully functional, while also managing driver performance, vehicle readiness, and transportation operations to support smooth business activities.

Responsibilities :

  • Analyze and prepare facility requirements for employee work needs and office needs.
  • Create work procedures for inspection and maintenance of facilities.
  • Conduct a survey of employee satisfaction levels with office facilities.
  • Prepare asset reports and office expenses for the purposes of monthly budget meetings.
  • Handle guests who have needs with employees and company management.
  • Handle complaints related to office facilities and infrastructure.
  • Manage operational vehicles and drivers, travel, and parking.
  • Handle and manage the maintenance of operational vehicles (Routine vehicles servicing and vehicles registration management)
  • Effectively manage the schedules of drivers assigned to transport company executives, in accordance with user needs and requests.
  • Manage the working hours and overtime hours of the driver effectively and efficiently according to user requests.
  • Perform the work given or instructed by the superior or leaders with full responsibility and dedication.

Qualifications

  • Bachelor's in Business Administration, General Affairs, Management, or related field.
  • 3–5 years in general affairs and office/facility administration, with at least 1–2 years in a leadership role.
  • Expertise in building maintenance, office layouts, and asset tracking.
  • Proven ability in vendor negotiation and contract management.
  • Strong experience managing operational budgets and cost-control.
  • Strong experience in managing driver and operational vehicles.
  • Knowledge of workplace safety (OHS) and local business regulations.
  • Rapid problem-solving, team leadership, and effective communication.
  • Fluency in Mandarin is a must.
