Job Description
As a General Administration, you will be responsible for supporting monthly finance, daily administrative operations, project documentation, and cross-department coordination within the HVAC company to ensure smooth and efficient business processes.
Job Responsibilities
- Manage general administration, correspondence, and document filing systems.
- Handle HVAC project administrative documents such as Purchase Orders, Contracts, Work Orders, Handover Documents, and Invoices.
- Support purchasing administration for HVAC materials and coordinate with vendors and suppliers.
- Assist in sales administration, tenders, quotations, and customer database management.
- Coordinate with engineering, project, sales, and finance teams.
- Prepare periodic administrative and project finance
- Ensure completeness, accuracy, and proper filing of project documentation.
- Maintain confidentiality of company documents and data.
- Handle daily financial administration for company and project operations.
- Prepare and issue invoices to clients and ensure timely delivery.
- Monitor accounts receivable (AR) and follow up on outstanding payments.
- Manage accounts payable (AP) documentation for vendors and subcontractors.
- Record and track operational and project-related expenses.
- Prepare payment documents, including bank transfers, petty cash, and reimbursements.
- Coordinate with General Administration and Project Teams to ensure complete and accurate financial documentation.
- Prepare basic financial reports such as cash flow statements and AR/AP summaries
Requirement
- Minimum Diploma or Bachelor's degree in Administration, Management, Finance or related fields.
- At least 13 years of experience as General Admin or Project Admin.
- Experience in finance and documentation.
- Proficient in Microsoft Office.
- Detail-oriented and able to work under deadlines.
