Facilities Officer

Integrated Facilities Management

to be placed at Alam Sutera, Kota Tangerang - Banten, Indonesia

Minimum Requirement:

  • Min bachelor's degree for any major
  • Have Autocad skill
  • Proficient in English, both oral and written
  • Experienced as Facilities officer min 3 years in FM/ property industry
  • Strong leadership style
  • Able to build strong and good relationship with client, as well as with vendor
  • Experienced in general of people management, finance, and procurement

Duties and Responsibilities:

  • The Facility Officer will help the Facility Coordinator by providing general overall Facilities Management services
  • including continuous monitoring of facility including but not limited to the following activities: > Consumables
  • Stationery
  • Furniture & Small Appliances
  • Electricity
  • Internet
  • Parking membership
  • Maintenance and service charge
  • Air conditioner
  • Office interior maintenance and repair
  • IT Server room
  • Janitorial for office interior cleaning, pantry services, basement warehouse, small repairs, handling
  • promotional material
  • Outgoing/incoming mail package
  • Record management
  • Utilization Exxon FM and safety platform for day-to-day operations
  • Providing administrative support for all vendors contracts to the Facility Coordinator whenever required
  • Prepare monthly management report and ensure effective completion of all incident reports together with Facility Coordinator
  • Response to users feedback in the areas of safety, plumbing, and mechanical, electrical, and environmental needs through both personal contact and work order systems (helpdesk system) and assignment of work to the relevant service providers
  • Ensure vendors are well-managed, delivering services on time and within budget
  • Track and ensure timely work execution by appointed contractor to housekeep/maintain meeting rooms, social hubs, and in-door plants
  • Providing a high level of customer service and promotes a positive workplace experience
  • Support work order management for in-house staff and vendors as necessary
  • Support facility soft services as needed and directed
  • Update existing seat layouts (churn move) not including office relocation to new offices if required
  • Propose custom office modifications, for example: desks, doors, cupboards, convert office rooms, etc if required
  • Office area measurements if required
