In GSCO APAC, we are looking for an Executive Assistant that provides comprehensive administrative to Indonesia Country Leader. Your responsibilities include managing calendars, preparing reports and presentations, handling confidential information, facilitating communication, organizing meetings and events, supporting strategic initiatives, and maintaining office records. You act as a liaison between the executive and internal/external stakeholders, ensuring efficient administrative processes and leveraging knowledge of Nokia's corporate tools.

How You Will Contribute And What You Will Learn

Executive Support

  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and briefing materials for meetings.
  • Handle confidential information with discretion and professionalism.
  • Act as a link between the executive and internal/external stakeholders.

Communication & Coordination

  • Draft memos on behalf of the executive.
  • Facilitate communication between teams and departments.

Meeting & Event Management

  • Organize and coordinate meetings, ensuring agendas, minutes, and follow-ups are completed.
  • Arrange logistics for events, conferences, and executive off-sites.

Project & Task Management

  • Support strategic initiatives and special projects as assigned.
  • Conduct research and provide insights to assist in decision-making.
  • Track deadlines and ensure timely completion of deliverables.

Office & Administrative Support

  • Maintain records, files, and databases in an organized manner.
  • Oversee administrative processes to ensure efficiency.
  • Assist in tools management & needed approvals. Knowledge about corporate Nokia tools

Key Skills And Experience

You have:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities in English.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

It would be nice if you also had:

  • Ability to handle multiple priorities with a proactive and problem-solving mindset.
  • High level of discretion and professionalism when handling sensitive information.
