As an
Executive Assistant, you will play a critical role in ensuring our executives operate at their highest effectiveness. You will act as a trusted partner who manages priorities, protects time, and ensures seamless coordination across professional and personal responsibilities.
This role is more than managing schedules, it's about being a proactive partner to the executive team. You'll need high ownership, strong judgment, and the ability to anticipate needs in a dynamic, fast-moving environment. Your work will ensure leaders stay organized, focused, and able to dedicate their time to the decisions that matter most.
We are looking for someone who is highly organized, tech-savvy, agile, and proactive, with the ability to manage complex priorities while maintaining confidentiality and professionalism.
What You'll Own
- Executive Calendar & Priority Management: Own and manage the executive's calendar, ensuring priorities are clearly structured and scheduling conflicts are minimized. Anticipate time needs, proactively reorganize schedules, and ensure executives can focus on high-impact activities.
- Meeting & Communication Coordination: Prepare and coordinate meetings, including agenda preparation, document organization, meeting logistics, and follow-ups. Act as a liaison between executives and internal or external stakeholders to ensure clear communication and timely responses.
- Travel & Logistics Management: Plan and manage business travel arrangements including itineraries, accommodation, transportation, and visa coordination. Ensure smooth execution of travel plans and anticipate potential disruptions.
- Personal & Professional Agenda Support: Support the executive in managing both professional and personal commitments, including family events, health appointments, and personal travel planning. Coordinate errands and administrative tasks that ensure the executive's daily operations run smoothly.
- Operational Efficiency & Systems Support: Leverage digital tools and systems to streamline workflows, manage documents, and improve coordination. Identify opportunities to improve processes and help maintain operational efficiency.
- Confidentiality & Discretion
- Handle sensitive information with the highest level of discretion, maintaining strict confidentiality across both professional and personal matters.

Requirements
You're a Fit If You
- You have 5+ years of experience as an Executive Assistant or Personal Assistant, preferably supporting senior leaders or C-level executives.
- You demonstrate strong ownership, proactively identifying what needs to be done without waiting for instructions.
- You are highly organized and detail-oriented, able to manage complex schedules and shifting priorities.
- You are tech-savvy, comfortable using productivity tools such as Google Workspace, Microsoft Office, calendar management tools, and collaboration platforms.
- You are agile and adaptable, able to operate effectively in fast-paced and dynamic environments.
- You have excellent communication skills and can interact professionally with internal and external stakeholders.
- You maintain high levels of discretion and confidentiality when handling sensitive matters.
- You are proactive in anticipating needs and solving problems before they escalate.
