Executive Assistant
About the role:
Executive Assistant is responsible for providing high-level support to the Director in managing daily executive activities, business priorities, decision follow-ups, and cross-department coordination.
This role acts as a bridge between the Director and department leaders to ensure instructions, management decisions, project progress, deadlines, and business priorities are properly communicated, tracked, and executed.
Responsibilities:
- Provide executive support to the Director, including scheduling, meeting preparation, document preparation, and follow-up management.
- Act as a communication bridge between the Director and department leaders.
- Track Director's instructions, management decisions, project progress, deadlines, and cross-department commitments.
- Coordinate with department leaders to ensure business priorities are executed properly.
- Analyze updates from departments and highlight key issues, risks, opportunities, and recommended follow-up actions.
- Prepare executive summaries, meeting notes, reports, presentations, and briefing documents.
- Monitor progress of strategic projects and follow up with responsible leaders or PICs.
- Ensure important issues, blockers, or delays are escalated to the Director with clear context and recommendations.
- Maintain confidentiality of executive information, business decisions, and sensitive company matters.
- Support coordination of internal meetings, management reviews, and other executive activities.
Qualifications:
- Minimum Bachelor's Degree in Business Administration, Management, Communication, Secretary, or related fields.
- Minimum 2 years of experience as Executive Assistant, Personal Assistant, Secretary, Business Support, or related roles.
- Strong communication, coordination, and follow-up skills.
- Able to summarize complex information into clear key points, risks, and recommended actions.
- Detail-oriented, structured, proactive, and able to work with deadlines.
- High integrity and ability to handle confidential information.
- Good analytical thinking and problem-solving skills.
- Having proficiency in Mandarin, English, or Japanese will be an advantage
- Willing to be placed in Karawang.
