Key Responsibilities
1. Event Management: Concept, Planning & Strategy
- Brand Alignment: Develop innovative event concepts that strictly align with brand objectives and global guidelines for Mothercare, Wilio, and Gingersnaps.
- Strategic Documentation: Create professional Event Decks detailing Date, Time, Venue, Objective, Target Audience, Activity, and Mechanism.
- Master Scheduling: Prepare and own comprehensive timelines and production schedules for all projects.
- Engagement Tools: Manage the overall event flow, including drafting MC scripts and coordinating guest speakers or talent.
2. Partnership Development & Management
- Strategic Alliances: Identify and pitch to potential brand partners (e.g., banks, FMCG, lifestyle brands, or healthcare providers) that share our target audience.
- Negotiation & Execution: Handle the end-to-end partnership process, from initial outreach and proposal to contract negotiation and on-ground execution.
- Co-Branded Activations: Integrate partner requirements into event concepts to create a win-win value exchange that elevates the guest experience.
- Community Networking: Build and maintain long-term relationships with parenting communities, schools, and influencer networks.
3. Budgeting & Administrative Management
- Financial Planning: Create a detailed brand proposal budget for every individual event.
- Cost Control: Manage event budgets and ensure strict cost control throughout the project lifecycle.
- Procurement & PR/PO: Responsible for creating the BOQ PR (Bill of Quantities / Purchase Requisition) based on the annual budget created by the GM Marketing.
- Vendor Relations: Select and coordinate with production vendors and talents to ensure the best price and quality, seeking final approval from the General Manager.
4. Cross-Functional Coordination (Pre-Event)
- Internal Synergy: Work closely with Marketing, PR, VM, Operations, and Store Teams to ensure smooth execution according to agreed Service Level Agreements (SLA).
- Leadership: Lead the Kick-off meeting for every new project to ensure all departments are aligned on goals and responsibilities.
- Site Management: Conduct site surveys and coordinate all necessary venue permissions or permits with mall management and relevant stakeholders.
- Communication: Handle all external meetings and provide the PR team with essential talking points for press releases and media invitations.
5. Event Execution & On-Ground Operations
- Production Oversight: Oversee the entire setup, technical rehearsals, and show-day operations to ensure premium standards.
- Rundown Management: Manage the detailed event flow and ensure all activities follow the approved schedule.
- Troubleshooting: Provide immediate on-ground solutions to any technical or logistical issues to protect the guest experience.
- Media Support: Ensure setups effectively accommodate PR and media requirements, ranging from small boutique gatherings (15-20 media) to large-scale launches (50+ media).
Key Requirements
- Minimum 3–5 years of experience in Event Management or Brand Activation, preferably within the Retail or Premium Consumer Goods sector.
- Proven ability to secure and manage corporate partnerships and sponsorships.
- Strong financial acumen and experience managing complex project budgets.
- Excellent communication and presentation skills (ability to create client-ready decks).
- Ability to work flexible hours, including weekends or evenings for event execution.
