Job Description

Key Responsibilities

  • Manage and maintain all company business documents, including proposals, contracts, MoUs, NDAs, SLAs, invoices, and legal & compliance documentation
  • Handle end-to-end administration and documentation for multiple tender/bidding processes simultaneously, including document collection, preparation, submission, tracking, clarification, and follow-up within tight deadlines
  • Work in a fast-paced environment with high exposure to concurrent tenders and urgent business requests from Sales and Business Development teams
  • Ensure completeness, accuracy, and compliance of all tender and contractual documents in accordance with client requirements, procurement standards, and applicable regulations
  • Monitor and manage timelines, submission deadlines, revisions, and status updates of ongoing tenders, active contracts, and business collaborations
  • Act as the company's representative in direct communication with clients regarding documentation, contractual administration, clarification requests, and submission requirements
  • Coordinate and assist in preparing client-facing materials, including administrative documentation and promotional material blasting that will be distributed to client customers or end users
  • Conduct administrative and non-strategic commercial negotiations related to document scope, administrative SLA, submission timelines, and administrative terms under management direction
  • Coordinate closely with internal teams (Business Development, Sales, Legal, Finance, AR, and Operations) to support tender execution, contract administration, and business operational needs
  • Support the Account Receivable (AR) process by assisting follow-up communications and administrative collection activities to clients when required
  • Manage cross-departmental document approval workflows and ensure all required documents are finalized within expected timelines
  • Maintain professional working relationships with corporate (B2B) and enterprise-level clients
  • Prepare and deliver periodic reports regarding tender progress, contract status, outstanding documentation, and ongoing business partnerships

Education & Experience

  • Bachelor's degree (S1) in Business Administration, Management, Law, or a related field
  • Minimum of 3+ years of experience as Business Support, Sales Administrator, Tender Administrator, Commercial Support, or a similar role
  • Mandatory experience in handling corporate (B2B) tender administration and business documentation processes
  • Experience working in industries with dynamic tender activities such as IT, Telecommunications, SaaS, Messaging Services, or System Integration is a strong advantage
  • Proven experience handling multiple tenders and contracts concurrently under tight timelines
  • Exposure to direct communication with enterprise-level clients and procurement teams
  • Strong understanding of tender processes, contracts, procurement administration, and IT-related business documentation
  • Highly detail-oriented, organized, and accurate in handling critical documents
  • Proficient in Microsoft Office and/or Google Workspace
  • Able to maintain professionalism when handling urgent client and internal requests
  • Committed to maintaining confidentiality of company data and business information
