Job Description
The Distribution and Logistics Supervisor is responsible for facilitating the movement of raw materials and finished goods to meet operational and sales needs. They oversee the work of and are the primary day-to-day point of contact for delivery drivers. They ensure that the delivery team is armed with the materials and tools they need to succeed. The Supervisor is responsible for day-to-day administration of third party distributor correspondence and record maintenance. They support both operations and sales and bridge the gap between the two by conducting and/or coordinating the movement of goods to ensure the right raw materials and finished goods are in the right place at the right time. They work with third party warehousing and distribution vendors to facilitate the movement and storage of goods in a timely manner.
Responsibilities
DELIVERY
– Daily driver route planning and scheduling. Communicates with the driver team regarding day-to-day delivery details.
– Weekly and monthly driver scheduling. Proactively identifies potential gaps and proposes solutions
– Create invoices, shipments, pick-sheets and route sheets for drivers. Maintain organized and clean delivery records in Ekos and other systems
– Supports drivers with assistance in daily picking and packing, as needed
– Leads picking and packing of Home Delivery and Third Party shipments. Generates all paperwork and labels and maintains organized shipment records
– Leads vehicle fleet maintenance scheduling and record keeping
– Arranges for vehicle rentals as needed to meet operational demands
– Conducts deliveries on an as-needed basis as the overflow driver and/or for emergency leave and vacation coverage
– Acts as the main point of contact throughout the day for driver issues, questions, etc.
– Works with sales to optimize efficiency and effectiveness of deliveries
– Finds solutions to meet sales needs and maintain high customer service and delivery standards
– Alongside the Licensee Sales Manager, is responsible for performance management of the delivery team. Provides coaching, training and disciplinary action when necessary.
LOGISTICS
– Conducts and/or assigns physical transfers of brewery materials and finished goods between brewery locations, warehouses and third party/distributor locations, including retail restocking at all brewery locations.
– Prepares all necessary BOLs and paperwork to track the movement of goods
– Maintains clean inventory and materials transfer records in digital systems and tools (Ekos, Shopify, etc.)
– Conducts product type conversions as needed in digital systems (Ekos, Shopify, etc.)
– Validates weekly availability of low brands with manual counts as needed
– Oversees and ensures first-in-first-out processes and systems for all warehouses and flags any aging or damaged stock to sales and operations teams
– Participates in quarterly distributor inventory reconciliation tasks with input and direction from operations and sales teams
– Primary day-to-day contact with distributor for inventory and record keeping (ex. New item codes) and maintains these records in brewery systems (ex. Ekos, BOL templates, etc.)
– Conducts distributor old code checks, monthly and/or on an as needed basis. Authorizes product for write-off and leads the return of saleable product to brewery for re-stocking.
– Conducts distributor inventory counts quarterly and on an as needed basis
– Reviews daily inventory and shortage reports from the distributor and leads problem solving and communication of necessary information to sales and operations teammates. Identifies product that shouldn't be there and arranges for pick-ups.
– Tracks low inventory items and maintains visibility for licensee sales team (ex. Sales allocations of kegs) and online sales (ex. Marketing)
– Maintains warehouse cleanliness and organization
– Maintains just-in-time stock of materials and finished goods at brewing and retail locations
– Sets aside product for open orders on a daily basis, as needed
– Oversees inventory of sales-specific merchandise like tap handles, coasters, and glassware. Conducts counts, maintains records and notifies purchasing at the appropriate time for re-ordering
– Coordinates all aspects of receiving and warehouse transfers of raw materials and supplies for brewing operations, tap room and bottle shop operations and restaurant operations.
Qualifications
– G class drivers license and clean driving record is mandatory
– Experience driving a light duty commercial truck
– Smart Serve certification
– Forklift certification
– 3 years prior beer delivery or logistics coordination experience
– Must be able to move cases of beer weighing 10Kg from ground level or pallets to table height to hand carts to a delivery vehicle
– Must be able to move kegs weighing up to 140lbs between skids, hand carts, delivery vehicles and up/down staircases
– Technologically inclined with a working knowledge of business softwares (Google Suite, Ekos Brewmaster, Optimo Route or similar, etc.) and an aptitude for learning new applications
– Process-oriented with strong organizational skills, an eye for detail and excellent problem solving skills
– Strong communication skills – knowing when to ask questions, offer solutions, discuss issues and escalate problems – and then communicating effectively in these situations
– Knowledge of draught systems and draught troubleshooting is an asset
– Time management – able to juggle multiple priorities and re-prioritize tasks to align with business needs
– A self-motivated, responsible and professional individual
