We are hiring on behalf of a company operating in the Traditional Chinese Medicine (TCM), clinic, and wellness industry in Indonesia. The company is currently expanding its operations and is looking for a Translator & Operations Assistant to support the setup and coordination of its local business activities in Indonesia.
This role will play a key part in assisting the company's directors and headquarters team with communication, translation, administrative coordination, operational setup, and local execution during the business expansion phase.
Job Responsibilities
Director Support & Translation Assistance
- Assist the company director and management team during their stay and operations in Indonesia
- Provide Chinese–Indonesian translation support
- Assist communication between therapists, TCM physicians, academy trainers, and local teams during training sessions
- Support meeting interpretation and on-site coordination
Mall & Retail Outlet Coordination
- Liaise with shopping mall leasing and operations teams
- Follow up on retail outlet leasing matters
- Coordinate pre-renovation document submissions and communicate with contractors
- Follow up on hoarding setup, marketing activities, and opening arrangements
- Coordinate daily mall operational matters including air-conditioning, telephone lines, internet lines, POS systems, etc.
Documentation & Licensing Support
- Assist in preparing lease agreements
- Assist in organizing renovation-related documentation
- Assist in preparing licensing application documents
- Coordinate with relevant government authorities and processes
- Follow up on document submission status and approvals
Recruitment & Team Setup
- Post recruitment advertisements
- Conduct initial candidate screening
- Arrange interviews
- Assist in building the local Indonesia team
- Coordinate onboarding arrangements for new employees
Vendor & Third-Party Coordination
- Coordinate with renovation contractors
- Coordinate with suppliers, including medication and wellness product vendors
- Coordinate with printing companies and material suppliers
- Assist with translation and communication with external parties
Administrative & Email Support
- Reply to selected English and Indonesian emails
- Assist in preparing meeting minutes
- Assist in scheduling meetings and travel arrangements
- Assist in preparing quotations and supporting documents
Pre-Opening Preparation
- Follow up on outlet opening progress
- Coordinate procurement of materials and supplies
- Coordinate staff training arrangements
- Coordinate on-site preparation before opening
- Assist in handling urgent operational issues
Local Operations Coordination
- Assist communication between company directors and the Indonesia team
- Support the establishment of local operational processes
- Assist in cross-department coordination
- Support daily operational follow-ups and execution
Requirements
- Fluent in Chinese (Mandarin), Bahasa Indonesia, and English
- Strong communication and coordination skills
- Able to work in a fast-paced and startup-style environment
- Prior experience in administration, operations, retail, clinic, wellness, or healthcare-related industries is an advantage
- Responsible, proactive, and able to handle multiple tasks independently
- Willing to travel within Jakarta or other locations when required
- Candidates who frequently switch jobs will not be preferred
