Overview of the position

The Shipping Specialist (Export) is responsible for managing and coordinating all export shipping operations, ensuring accurate documentation, timely delivery, and compliance with international trade regulations. The role requires strong knowledge of SAP and export procedures.

Responsibilities

  • Manage export operations to America, Japan, Australia, New Zealand, and Shanghai.
  • Prepare, verify, and manage export shipping documents (e.g., commercial invoice, packing list, bill of lading, certificate of origin, and export declaration).
  • Coordinate with freight forwarders, shipping lines, and customs brokers for booking, shipment scheduling, and cargo release.
  • Ensure compliance with export regulations, customs requirements, and international trade documentation standards.
  • Monitor shipment schedules to ensure on-time delivery and resolve any logistics or documentation issues.
  • Liaise with internal departments such as Sales, Production, Planning and Finance to ensure smooth order processing and shipment execution.
  • Track shipments and provide timely updates to customers and management.
  • Maintain accurate records of all shipping transactions and related documentation.
  • Handle communication with overseas clients, agents, and port authorities regarding export matters.
  • Support audit and compliance activities related to export documentation and logistics.

Requirements

  • Bachelor's Degree in Logistics, Supply Chain Management, International Business, or a related field.
  • Minimum 3 years of experience in export shipping or logistics operations (manufacturing industry preferred).
  • Proven experience handling LC (Letter of Credit) shipments and working with banks.
  • Strong understanding of Incoterms, export procedures, and customs regulations.
  • Proficient in SAP (SD/MM modules) and Microsoft Office (Excel, Word, Outlook).
  • Strong communication skills in English, both written and spoken.
  • Highly detail-oriented, well-organized, and able to work under tight deadlines.
  • Able to coordinate effectively with multiple stakeholders across regions and functions.
