Who We're Looking For

  • Preferably has 5+ years of experience in shipping/export roles, with a minimum of 3 years in a Supervisor position based in Oleochemical Industry or FMCG Industry
  • Fluent in English,
  • A strong believer in the power of winning together,
  • Excited about being part of a dream,
  • Strong understanding of export procedures, shipping documents, and customs processes.
  • Familiar with Incoterms and international trade documentation.
  • Good communication and coordination skills with logistics partners.
  • Excellent analytical, problem-solving, leadership, and communication skills.
  • Able to use MS Office Programs actively,
  • Able to come to our site in Sei Mangkei, Simalungun, North Sumatera

What You'll Be Doing

To ensure all shipping operations run smoothly and efficiently by managing export shipment processes, coordinating with shipping lines and forwarders, preparing complete shipping documentation, and ensuring on-time delivery of oleochemical products to customers

Key Responsibilities:

  • Arrange vessel booking and coordinate shipment schedules with shipping lines, forwarders, and transporters.
  • Ensure shipping plans are aligned with production schedules and customer requirements.
  • Monitor vessel arrival, container placement, loading activities, and cargo readiness.
  • Follow up daily on shipment status to ensure timely dispatch and avoid demurrage or detention.
  • Prepare and verify all export documents, including Invoice, Packing List, Bill of Lading (BL), Certificate of Origin (COO), Certificate of Analysis (COA), Fumigation Certificate, and other required documents.
  • Coordinate with internal departments for document preparation (Finance for Invoice, QC for COA, etc.).
  • Check accuracy and completeness of all shipping documents before submission to customers or banks.
  • Maintain organized filing of all shipping records and documents.
  • Act as the main contact point with shipping lines, freight forwarders, and customs agents.
  • Liaise with customers for shipment updates, document submission, and delivery arrangements.
  • Coordinate with warehouse and loading team to ensure proper cargo handling and timely loading.
  • Communicate any shipping issues immediately and follow up until resolved.
  • Prepare and submit export declaration (PEB) through INSW or related systems.
  • Ensure compliance with customs regulations and export requirements.
  • Follow up for permit, surveyor report, and export approval when required.
  • Monitor freight, handling, and local charges to ensure cost effectiveness.
  • Verify and check invoices from forwarders and shipping lines before submission to Finance.
  • Prepare regular shipping reports: shipment status, cost summary, vessel schedules, and export volume.
