Senior Finance & Compliance Officer

Location: Umalas, Canggu

Employment: Full-time, on-site

Reporting to: General Manager

About the Role

As Senior Finance & Compliance Officer, you will be the financial backbone of PT Smartmates Software Engineering. You will own end-to-end bookkeeping, payroll, regulatory compliance, and reporting for our Indonesian entity, while supporting financial alignment with our Australian parent. This is a hands-on role requiring precision, initiative, and meticulous attention to detail. You will work closely with the General Manager and liaise directly with our tax and legal advisors to ensure the company operates in full compliance with all statutory obligations at all times.

Key Responsibilities

Bookkeeping & Financial Data:

– Maintain accurate, up-to-date financial records in Jurnal Mekari (Indonesia) and Xero (Australia)

– Record all transactions under correct accounts and categories with supporting documentation

– Maintain organised records of invoices, receipts, and payment evidence

Reconciliation:

– Reconcile bank transactions, invoices, and receipts against accounting systems for both entities

– Identify and resolve missing, duplicated, or incorrect transactions promptly

– Keep Indonesian and Australian financial records aligned for consolidated reporting

Financial Reporting:

– Prepare monthly financial reports (income, expenses, cash flow) for director and GM review

– Prepare ad hoc financial summaries as required

– Maintain organised financial records for audit and compliance purposes

Accounts Payable:

– Prepare, submit, and process payment requests following approval workflows

– Ensure all company obligations are paid on time

– Manage recurring expenses: utilities, subscriptions, government fees, and operational costs

– Maintain records of recurring payments and schedules

Commissions:

– Calculate monthly commissions using the logged timesheets from Zoho Projects

– Prepare commission summaries (new sales and top ups) for review and approval

– Process approved commission payments on the 15th of each month

– Maintain accurate historical commission records

Payroll:

– Calculate and process monthly payroll including salaries, deductions, commissions, and bonuses, with tax and other relevant deductions included

– Prepare payroll summaries, maintain records, and distribute payslips

– Coordinate payroll information with management and consultants

BPJS Administration:

– Manage BPJS Kesehatan and BPJS Ketenagakerjaan: registrations, salary updates, and deactivations

– Prepare and reconcile monthly BPJS contribution data

– Maintain records of all BPJS payments and correspondence

Tax Compliance:

– Prepare and organise financial data required by Indonesian tax consultants

– Prepare supporting data for Australian reporting as directed — straightforward data extraction

– Maintain complete tax documentation and coordinate submissions on time

HR & Administration Support:

– Prepare and maintain employment agreements, contractor agreements, and company contracts

– Manage employee leave records and entitlements (annual, sick, public holidays) based on the provided guideline

– Support onboarding, offboarding, and day-to-day HR administration

– Assist the General Manager with ad hoc operational and administrative tasks

Requirements:

– Qualified accountant — S1 Accounting, Finance, or equivalent professional qualification

– Experience in the same role or field for at least 5 years

– Demonstrated hands-on experience with Jurnal Mekari — essential

– Solid understanding of Indonesian tax, payroll compliance, commission calculations, and BPJS Kesehatan and Ketenagakerjaan administration

– Excellent written and spoken English — required for regular communications with Australian stakeholders

– Meticulous attention to detail and a strong sense of personal accountability

– Able to work independently, manage multiple deadlines, and escalate issues proactively

– Willing to work from our office (not a remote position)

Preferred (Beneficial, Not Essential)

– Experience with Xero accounting software

– Exposure to Zoho suite (Projects, CRM, Books) or similar platforms

– Experience in a cross-border or dual-entity finance environment
