We Are Looking For:
We are looking for a proactive and organized SeniorFacility Management Executive to support the day-to-day coordination and administration of our operations activities. This role will work closely with internal teams, vendors, and stakeholders to keep schedules, documentation, reporting, and follow-ups on track. The ideal candidate is dependable, detail-oriented, and comfortable managing multiple tasks in a fast-paced environment.
Job Responsibilities:
- Oversee soft services, building maintenance and landscaping activities in collaboration with the Facilities Management Services vendor, ensuring planned works, service follow-ups and operational support activities are properly coordinated and tracked.
- Manage project-to-operation documentation, including document control, filing, archiving and centralized records for key operational documents, SOPs, policies and handover materials.
- Support initiatives to automate and streamline operation and administrative processes across specific campus operations, including reporting, tracking, scheduling and document workflows.
- Own and coordinate specific operations reporting for internal and external stakeholders, including data consolidation, monthly reporting inputs, service updates and follow-up on required actions.
- Organize operational events and activities involving specific operations team personnel, including meetings, engagement activities, internal events and coordination of related logistics.
- Support cost control and administration of specific operations OPEX and CAPEX, including tracking submissions, maintaining supporting documents and coordinating with relevant stakeholders.
- Lead CAPEX projects related to building maintenance, landscaping and parking areas, including coordination of requirements, progress tracking and support for implementation readiness.
- Support specific team onboarding plans and employee engagement activities, including coordination with relevant teams to ensure effective onboarding and team integration.
- Track onboarding programs and related training for specific, as tailored by the specific Operations team, support in trainee program, including training and assessment records, completion follow-up and related coordination.
Qualities You Should Have:
- Minimum Diploma (D3) in any discipline.
- Minimum 5 years of relevant experience, preferably in facilities management, soft services, building maintenance, project coordination, operations support, or a mission-critical data centre environment.
- Proactive and organized, with the ability to coordinate day-to-day operational activities, follow up on pending matters, and keep tasks on track.
- Detail-oriented and comfortable handling documentation, filing, reporting, training records, schedules, and administrative coordination.
- Strong planning and coordination skills, with the ability to manage multiple priorities in a fast-paced operational environment.
- Good communication skills in English and Bahasa Indonesia, with the confidence to work with internal teams, vendors, service providers, and stakeholders.
- Dependable, adaptable, and able to build good working relationships with internal and external parties.
- Able to support process improvement or automation initiatives for reporting, tracking, scheduling, and document workflows.
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Familiarity with database management software, BMS, CMMS, DCIM, or Power BI will be an added advantage.
