Summary of The Job
The Senior Accounts Payable plays a key role in overseeing and executing the company's accounts payable operations across two entities. This position ensures that all invoices and payments are processed accurately, on time, and in compliance with internal controls and regulatory requirements.
The Senior AP serves as the first escalation point for vendor issues, drives process improvements, mentors junior AP staff, and assists with period-end closing, reconciliations, and reporting.
He/She manages a small team of two members, efficiently delegating tasks while maintaining responsibility for reviewing the completeness and accuracy of records. The role is also fully accountable for the accurate reporting of cash and bank balances and for proposing optimal timing for fund usage, injections, and cash flow planning.
Responsibilities:
Invoice & Payment Oversight
- Review and be the first level approval of invoices processed by AP staff, ensuring accuracy, and compliance with company policies.
- Monitor daily AP operations to ensure timely processing of invoices and payments.
- Prepare and authorize electronic transfers and bulk payments.
Reconciliation & Closing
- Lead monthly AP closing activities, including reconciliation of accounts payable subledger to the general ledger.
- Investigate and resolve discrepancies in a timely manner.
- Support accruals and adjustments for month-end and year-end reporting.
Vendor & Stakeholder Management
- Act as primary contact for key vendor relationships and resolve escalated payment issues.
- Collaborate with procurement, operations, and finance teams to address disputes and improve vendor experience.
- Maintain updated vendor records and ensure proper onboarding of new vendors.
Compliance & Audit Support
- Ensure AP processes comply with company policies, tax regulations, and internal control requirements.
- Prepare and provide documentation for internal and external audits.
- Monitor compliance with withholding tax (PPh 23) and VAT requirements for vendor invoices.
- Fully implement balanced skepticism in the payable and treasury cycle.
Process Improvement & System Optimization
- Identify process inefficiencies and propose enhancements to increase accuracy and reduce processing time.
- Support implementation/improvement of AP automation tools or ERP enhancements (e.g., Xero, paper.id)
- Support implementation/improvement in bank and payment gateway (Xendit, Midtrans, etc).
Team Support & Mentoring
- Provide simple guidance and on-the-job training to junior AP staffs.
- Review team workload regularly and escalate if demand exceeds capacity to avoid missed deadlines.
- Promote a culture of accuracy, timeliness, and continuous improvement within the AP function.
Requirements:
- Bachelor's degree in Accounting, Finance, or a related field preferred.
- 3–5 years of progressive experience in accounts payable, with exposure to month-end closing, vendor management, and payment processes.
- Experience mentoring or guiding junior staff is an advantage.
- Strong knowledge of AP processes, accounting principles, and relevant regulations (VAT, withholding tax).
- Proficiency in accounting software and Microsoft Excel (pivot tables, VLOOKUP, reconciliations).
- Strong attention to detail with ability to manage high-volume transactions accurately.
- Familiarity with Xero, Xendit, paper.id, would be an advantage.
- Good communication skills, with ability to work cross-functionally and manage vendor relationships.
- Problem-solving mindset and ability to prioritize in a fast-paced environment.
- High level of integrity and reliability.
- May require occasional overtime during peak periods such as month-end or year-end closings.
