Lestari Capital aims to strengthen Southeast Asia's emerging ecosystem services marketplace, by connecting demand for on-the-ground conservation efforts among commodity producers/buyers with projects that are protecting or restoring forests where these companies operate, to protect at-risk areas.

Position Overview

This is an exciting opportunity to be part of a dynamic and growing international team. The Project Admin Associate will provide project administration and finance support across the Rimba Collective portfolio. The role will work closely with the Project Management and Portfolio Finance teams to ensure high-quality financial reporting, financial compliance, and effective coordination with Project Operators.

Position Responsibilities

Project Coordination:

  • Support project managers to coordinate project activities and timelines to ensure adherence to project plans.
  • Schedule and manage project meetings, including preparation of agendas, minutes, and follow-up actions.
  • Track project milestones and deliverables, providing regular updates to project stakeholders.

Administrative & Finance Support

  • Conduct first-level reviews of project financial reports (BTTs) prior to Portfolio Finance review.
  • Review supporting documents and ensure compliance with approved budgets and financial guidelines.
  • Review budget variances and ensure expenditure is in line with approved project budgets.
  • Identify recurring financial reporting issues and recommend process improvements.
  • Support Portfolio Finance with quarterly financial reporting and reporting quality assurance.
  • Review annual audit reports and reconcile findings against project financial reports.
  • Perform sample testing and coordinate directly with Project Operators to resolve finance-related queries.
  • Support the implementation and ongoing administration of financial reporting systems, including Xero, as they are introduced across the portfolio.
  • Maintain project documentation, including contracts, correspondence and reporting records.
  • Prepare financial reporting summaries and monitor the status of project financial submissions.
  • Coordinate with internal and external stakeholders to facilitate project implementation.
  • Support other administrative activities across the project portfolio, including reporting coordination and data management.

Communication:

  • Effectively communicate project information to team members and stakeholders.
  • Resource Management:
  • Assist in resource allocation and tracking to ensure project needs are met.
  • Coordinate with team members to ensure timely completion of tasks.
  • Identify lesson learned during the project processes and create suggestions for the system improvement

Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration or a related field.
  • 2–4 years experience in project administration, project finance, accounting, audit or grants management.
  • Experience reviewing project financial reports, budgets and supporting documentation.
  • Experience in financial reporting, audit or compliance reviews.
  • Experience supporting project financial management or grant financial reporting for NGOs, donor-funded programmes or conservation projects in Indonesia is highly preferred.
  • Strong analytical skills with attention to detail.
  • Ability to communicate effectively with Project Operators and internal stakeholders.
  • Experience using cloud accounting systems such as Xero is highly preferred.
  • Fluency in Bahasa Indonesia and English.

Preferred Experience

  • Experience working in project finance within a Non profit, donor entities and or other funding mechanisms.
  • Experience reviewing grant expenditure reports or donor financial reports.
  • Experience liaising with finance teams, auditors and project implementation teams.
  • Familiarity with Indonesian financial reporting and supporting documentation requirements.
  • Experience with Indonesian tax reporting and regulations will be a plus point
  • Experience reviewing supporting documents, invoices and expenditure claims for donor-funded or NGO projects.
