JUST FOR CANDIDATES IN BALI

We are seeking a highly organized and motivated Candidate Administrator & Office Support Specialist to manage the administrative lifecycle of our candidate pool and assist with critical daily office functions. This is a multi-faceted role perfect for someone who thrives on variety, is comfortable juggling tasks, and has a keen interest in leveraging technology, including Artificial Intelligence (AI), to enhance efficiency.

Key Responsibilities:

1. Candidate Administration & Recruitment Support

  • Manage the initial stages of the recruitment process, including posting job ads (especially on LinkedIn), screening resumes, and scheduling interviews.
  • Maintain and update the Applicant Tracking System (ATS) and candidate database, ensuring data accuracy and compliance.
  • Serve as the primary point of contact for candidates, ensuring a positive and professional experience.

2. Administrative & Daily Operations

  • Handle general office administration, including managing supplies, organizing files, and coordinating meetings.
  • Execute daily operational tasks to ensure the office runs smoothly and efficiently.
  • Assist the leadership team with scheduling, document preparation, and special projects.

3. Financial & Basic Accounting Support

  • Process basic financial transactions, invoices, and expense reports.
  • Assist the accounting department with data entry and reconciliation tasks.
  • Maintain accurate financial records for administrative and petty cash expenditures.

4. Social Media & Marketing Assistance

  • Assist in creating, scheduling, and posting engaging content across our social media platforms (LinkedIn, Instagram, Facebook, etc.).
  • Monitor social media engagement and assist in responding to comments and messages.
  • Support the creation of marketing materials and company presentations.

5. Technology & AI Integration

  • Actively explore and utilize AI tools (e.g., ChatGPT, basic automation software) to streamline administrative tasks, draft communications, and summarize data.
  • Proactively identify opportunities to integrate new technologies to improve office efficiency and candidate experience.

Qualifications:

  • Proven experience in an administrative, HR, or office support role, preferably within the real estate or a fast-paced environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
  • Familiarity with social media management tools and best practices.
  • A strong interest in and basic knowledge of AI tools and their application in an office setting.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
