We are seeking a highly organized and motivated Candidate Administrator & Office Support Specialist to manage the administrative lifecycle of our candidate pool and assist with critical daily office functions. This is a multi-faceted role perfect for someone who thrives on variety, is comfortable juggling tasks, and has a keen interest in leveraging technology, including Artificial Intelligence (AI), to enhance efficiency.
Key Responsibilities:
1. Candidate Administration & Recruitment Support
- Manage the initial stages of the recruitment process, including posting job ads (especially on LinkedIn), screening resumes, and scheduling interviews.
- Maintain and update the Applicant Tracking System (ATS) and candidate database, ensuring data accuracy and compliance.
- Serve as the primary point of contact for candidates, ensuring a positive and professional experience.
2. Administrative & Daily Operations
- Handle general office administration, including managing supplies, organizing files, and coordinating meetings.
- Execute daily operational tasks to ensure the office runs smoothly and efficiently.
- Assist the leadership team with scheduling, document preparation, and special projects.
3. Financial & Basic Accounting Support
- Process basic financial transactions, invoices, and expense reports.
- Assist the accounting department with data entry and reconciliation tasks.
- Maintain accurate financial records for administrative and petty cash expenditures.
4. Social Media & Marketing Assistance
- Assist in creating, scheduling, and posting engaging content across our social media platforms (LinkedIn, Instagram, Facebook, etc.).
- Monitor social media engagement and assist in responding to comments and messages.
- Support the creation of marketing materials and company presentations.
5. Technology & AI Integration
- Actively explore and utilize AI tools (e.g., ChatGPT, basic automation software) to streamline administrative tasks, draft communications, and summarize data.
- Proactively identify opportunities to integrate new technologies to improve office efficiency and candidate experience.
Qualifications:
- Proven experience in an administrative, HR, or office support role, preferably within the real estate or a fast-paced environment.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
- Familiarity with social media management tools and best practices.
- A strong interest in and basic knowledge of AI tools and their application in an office setting.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
