We're currently looking for a Project Coordinator/Administrator to be based in Kuala Lumpur to support the Managing Director and project office of a startup in scaling up the company.
Given the dynamic nature of the executive landscape and fast paced environment, the candidate must be highly adaptable, proactive in problem solving with exceptional communication skills and meticulous attention to detail while maintaining the confidentiality of company systems and plans. The candidate's must be ready to provide further support to any team in the organisation including retail as and when needed.
The team of executive assistants in the Managing Directors office play a crucial organisational role in providing and directing important resources to key functions in the company. As our business expands, so does the need to develop and support our employees.
Key Responsibilities
- Administrative Support to the Managing Director
- Project Support for ongoing projects
- Support the oversight of key business initiatives and the follow-through/implementation
- Prepare the presentation materials by collating the inputs, creating the slides and visualising the storyline of the presentation.
- Digest and summarise business proposals or key topics of research and preparing basic summary papers to assist the Managing Director in quick and basic understanding of proposals, topics, challenges, opportunities
- Provide support in e-mail writing, drafting memos and prepare communication on behalf of the Managing Director
- Be the focal point for licensing and compliance matters - eg Halal certification, ISO, HACCP
- Keep track and renew business licensing for the company on a yearly basis
Profile
- Comfortable interacting with high level executive in a complex matrix environment
- Experience with research and report writing
- Able to synthesise data and repackage it into different forms (report to powerpoint etc.)
- Exceptional organisational skills and strong attention to detail, with the ability to prioritise and manage conflicting demands appropriately
- Highly motivated and pro-active; acting with professionalism in all interactions
- Excellent interpersonal and communication skills. Outgoing personality, polite, cheerful and empathic
- Proficient in office productivity tools and an aptitude for learning new software and systems
