Job Description

Responsibilities

  • Serve as the first point of contact for the COO, managing correspondence, calls, and scheduling in a professional manner.
  • Own and manage the COO's calendar, appointments, and travel arrangements to ensure smooth daily operations.
  • Prepare meeting materials, agendas, and presentations; take minutes and follow up on action items.
  • Collect, compile, and organize operational data into clear reports and executive summaries.
  • Coordinate cross-functionally with internal departments, suppliers, and external stakeholders on behalf of the COO.
  • Conduct research, benchmarking, and data compilation relevant to the COO's agenda.
  • Collate and file expenses, ensuring accurate financial documentation.
  • Handle confidential correspondence and information with full discretion.

Requirements

  • Bachelor's degree in Business Administration, Management, International Relation, Mass Communication, or related field (preferred).
  • Minimum 3 years of experience as a Personal or Executive Assistant, preferably supporting C-level executives.
  • Advanced proficiency in MS Office especially Excel (pivot tables, formulas, structured reporting) and G-Suite.
  • Strong numerical literacy; able to compile and present data in a clear, structured manner.
  • Fluent in English and Indonesian, written and verbal.
  • Proactive, organized, and calm under pressure with shifting priorities.
  • Demonstrates tact and discretion when handling sensitive and confidential matters.
