About the Role
We are looking for a People Operations Assistant Manager to oversee and ensure the smooth, accurate, and efficient execution of our day-to-day People Operations processes. This role will be responsible for managing employee lifecycle administration, HRIS, benefits, employee documentation, payroll-related inputs, and HR operations compliance.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced environment while managing multiple stakeholders and priorities.
Responsibilities
People Operations & Employee Lifecycle
- Own and oversee day-to-day People Operations processes across the employee lifecycle, from onboarding to employee changes, probation, and offboarding.
- Ensure all employee-related transactions and documentation are completed accurately and within the required timeline.
- Manage and maintain accurate employee data and records in the HRIS (Darwinbox).
- Monitor data quality and identify discrepancies or gaps in employee records, ensuring timely resolution.
- Prepare, review, and maintain employment-related documents, including Employment Agreements, Certificates of Employment (Paklaring), and other HR documentation.
- Ensure proper filing and maintenance of employee records while maintaining confidentiality and data privacy.
Benefits & Employee Administration
- Manage employee benefits administration, including enrollment, changes, inquiries, and coordination with BPJS Kesehatan and private insurance providers.
- Manage and ensure timely processing of employee benefits and allowances, including birth, marriage, and bereavement/grief allowances.
- Act as a point of contact for employee inquiries related to People Operations policies, benefits, and administrative processes.
- Coordinate with relevant internal teams and external vendors to resolve employee-related issues efficiently.
Payroll & HR Data
- Ensure the accuracy and timeliness of People Operations data and inputs required for payroll processing.
- Review and validate payroll-related employee data, including intern salary calculations and other employee-related adjustments.
- Prepare regular People Operations reports and provide accurate employee data for HR and management needs.
- Monitor key People Operations metrics and identify trends, issues, or areas requiring improvement.
Probation & Performance Administration
- Coordinate and monitor the probation process, ensuring managers complete probation evaluations and required documentation within the established timeline.
- Follow up with managers and employees on outstanding probation-related actions.
- Ensure proper documentation and system updates for probation outcomes and employee status changes.
Process Improvement & Compliance
- Ensure People Operations processes are implemented consistently in accordance with company policies, procedures, and applicable employment regulations.
- Identify process gaps, recurring issues, and operational inefficiencies, and recommend improvements.
- Develop and maintain People Operations SOPs, guidelines, and process documentation where required.
- Support the implementation of new HR policies, systems, and People Operations initiatives.
- Ensure People Operations processes are audit-ready and properly documented.
- Support HR-related projects and initiatives as required.
Stakeholder & Team Management
- Partner closely with employees, managers, Finance, and other relevant stakeholders to ensure smooth People Operations delivery.
- Provide guidance and clarification to managers and employees regarding People Operations policies and processes.
- Coordinate with external vendors and service providers to ensure timely and accurate delivery of HR services.
- Where applicable, lead, coach, and develop People Operations team members to ensure quality and timely execution of operational tasks.
- Take ownership of escalated People Operations issues and ensure timely resolution.
Requirements
- Bachelor's degree in Psychology, Human Resources, Management, Business Administration, or a related field.
- 3–5 years of experience in People Operations, HR Operations, HR Generalist, or a similar HR role.
- Experience managing end-to-end employee lifecycle processes in a fast-paced organization.
- Strong knowledge of HR administration, employee benefits, HR documentation, and payroll-related processes.
- Experience managing HRIS systems; Darwinbox experience is a strong advantage.
- Good understanding of BPJS Kesehatan and employee benefits administration.
- Strong understanding of HR processes and basic knowledge of Indonesian employment regulations.
- Strong attention to detail and a high level of accuracy when handling employee data, documentation, and HR transactions.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Strong problem-solving and analytical skills, with the ability to identify operational issues and recommend practical solutions.
- Strong communication and stakeholder management skills, with the ability to work effectively with employees, managers, and external partners.
- Proficient in Google Workspace, particularly Google Sheets/Excel.
- Comfortable working with HR data and generating operational reports.
- Able to handle confidential employee information with a high level of professionalism and discretion.
- Proactive, accountable, and comfortable working independently in a fast-paced environment.
- Proficiency in English, both written and verbal, is an advantage.
Preferred Qualifications
- Experience in a technology, startup, hospitality, retail, or other fast-paced/high-volume environment.
- Experience handling a large employee population or multi-location workforce.
- Experience in HRIS implementation, process improvement, or HR operations projects.
- Experience leading or mentoring junior People Operations/HR team members.
- Familiarity with Indonesian employment regulations and statutory benefits.
