We Are Looking For

We are looking for a proactive and organized Operations Executive to support the day-to-day coordination and administration of our operations activities. This role will work closely with internal teams, vendors, and stakeholders to keep schedules, documentation, reporting, and follow-ups on track. The ideal candidate is dependable, detail-oriented, and comfortable managing multiple tasks in a fast-paced environment.

Job Responsibilities:

  • Provide day-to-day administrative support to the Operations Director and Operation Division
  • Manage executive and leaders scheduling, communication, and meeting coordination
  • Support vendor onboarding, including consolidation of PTW, SWMS, RA, and worker name lists.
  • Maintain the 52-week operations calendar, including PPM, ASD, fire drills, and other planned activities.
  • Coordinate with vendors on PPM schedules and planned works to ensure activities are properly tracked.
  • Monitor service requests in ServiceNow and follow up to ensure timely closure.
  • Track staff training hours and maintain accurate records.
  • Consolidate monthly overtime and claim submissions with supporting details for HR processing.
  • Prepare meeting minutes for operations meetings and follow up on agreed actions.
  • Drive efficiency and consistency in administrative, reporting, and process workflows
  • Support inventory and asset tracking activities.
  • Maintain the documentation filing system and ensure key documents are updated and backed up weekly and maintain centralized control of all operational documents, SOPs, and policies.
  • Assist with data extraction and preparation of monthly operations reports for stakeholders.
  • Coordinate hard services and soft services support, including building housekeeping, pantries, landscaping and cleaning-related follow-ups.
  • Support internal transition activities and operational readiness tasks as required by internal stakeholder or PDG Customer.
  • Assist with internal audits, certification activities, and related documentation.
  • Coordinate and organize internal events, meetings, and corporate activities

Qualities You Should Have:

  • Minimum Diploma in any discipline.
  • 2–3 years of relevant experience, preferably in a mission-critical data centre, facilities management, high scale project delivery or service provider environment.
  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Good communication in English and Bahasa, able to work well with different teams and stakeholders.
  • Confident, adaptable, and able to build good working relationships with internal and external parties.
  • Strong planning and coordination skills, with good attention to detail.
  • Comfortable with documentation, reporting, scheduling, and administrative coordination.
  • Familiarity with Database management software, BMS, CMMS, DCIM, or Power BI will be an added advantage.
