About The Role
The Project Management Operations, Assistant Manager (MTO) plays a critical role in enabling efficient, scalable, and high-quality execution across all marketing initiatives. This role sits at the intersection of project management, marketing operations, governance (CoE), financial administration, and technology transformation, supporting both day-to-day operations and strategic initiatives including MarTech and AI adoption. The PMO ensures that marketing projects, campaigns, and platforms are delivered on time, on budget, and to standard, while continuously improving processes, transparency, and cross-functional collaboration. You will be instrumental in driving best practices, aligning teams on performance standards, and overseeing key marketing projects to fruition.
Job Responsibilities
MarTech, Data & AI Enablement
- Assess and improve Al-readiness across the marketing stack - identifying data quality issues and integration gaps.
- Work with Data and IT to ensure clean tracking, tagging, and data flows across web, app, CRM, CDP, and channels.
- Own the evaluation and integration process for Al-native and Al-augmented platforms.
- Define and enforce data governance standards for marketing data used in AI workflows.
- Build and maintain self-serve dashboards and data products for stack leads.
- Support the technical implementation of Al-powered lifecycle and personalisation use cases.
Project & Program Management
- Manage end-to-end delivery of marketing projects across brand, performance, CRM, content, partnerships, product marketing, MarTech, and AI initiatives.
- Own project planning, timelines, dependencies, risk management, and stakeholder communication.
- Coordinate cross-functional teams including Marketing, Product, Tech, Data, Compliance, Finance, and external vendors.
- Track milestones, deliverables, and outcomes across concurrent projects and campaigns.
Marketing Operations & Governance (CoE)
- Act as the operational backbone of the Marketing Center of Excellence (CoE).
- Establish and maintain marketing processes, playbooks, SOPs, and best practices.
- Ensure governance, consistency, and quality across channels, markets, and teams.
- Support rollout and adoption of new frameworks, tools, and ways of working.
Financial & Administrative Operations
- Manage marketing operational workflows including:
- Invoice processing and reconciliation.
- Vendor onboarding and coordination.
- Budget tracking and utilization reporting.
- Work closely with Finance and Procurement to ensure compliance, accuracy, and timeliness.
- Support budget planning, forecasting, and cost optimization initiatives.
Reporting, Tracking & Continuous Improvement
- Build and maintain dashboards, trackers, and reporting frameworks for:
- Project status and delivery health.
- Budget and resource utilization.
- Operational KPIs and efficiency metrics.
- Identify bottlenecks, risks, and improvement opportunities across marketing operations.
- Drive continuous improvement through process optimization, automation, and tooling.
Job Requirements
Core Skills
- Hands-on experience with marketing technology platforms - CRM/ESP (e.g. HubSpot, Braze, SFMC), CDPS (e.g. Segment, mParticle), analytics (GA4, Mixpanel, Amplitude.
- Strong grasp of marketing data architecture: event tracking, identity resolution, audience segmentation, attribution models.
- Analytical mindset; comfortable with dashboards and data pipelines - SQL or equivalent is a plus.
- A least 3 years of experience in project management, marketing operations, PMO, or related roles
- Experience working in fast-paced, matrixed organizations
- Exposure to MarTech platforms and digital marketing ecosystems
- Experience supporting transformation, automation, or AI initiatives is a strong advantage.
Nice to Have
- Experience operating within a Center of Excellence (CoE) model.
- Familiarity with agile / hybrid project delivery methods.
- Experience in regulated industries (e.g. financial services, brokerage, fintech).
- Strong stakeholder management at manager to director level.
Qualifications
- Bachelor's degree in Marketing, Business Administration, or a related field.
- Fluent in English and Mandarin to liaise with both internal and external stakeholders based overseas
- Minimum 5 years of experience in a business operations, marketing operations, or project management role, ideally in a brokerage or financial services environment.
- Prior financial/fintech/trading industry experience is an added advantage.
