Key Responsibilities :

  1. Maintain and manage the Legal Department's Document Management System (DMS), including uploading documents, updating expiration dates, organizing access/users, and ensuring all files are securely stored and up to date.
  2. Handle comprehensive filing, tracking, archiving, and monitoring of all legal documents, including IP certificates, licenses, regulatory reports, contracts, and corporate documents of the Lemonilo Group
  3. Serve as the main point of collection and coordination for documents requiring signature by the Board of Directors/Commissioners, ensuring timely processing, accuracy, and proper distribution of fully signed documents.
  4. Provide administrative and secretarial support to the Legal Department, including document preparation, editing, typing, handling confidential correspondences, and arranging meetings with internal and external parties.
  5. Maintain the Legal team's calendar, assist with scheduling, and support daily operational needs of the Legal team.
  6. Record, track, and update Legal Department's expenses and supporting documents such as invoices, cash advances, purchase requests, and reimbursements.

Qualifications :

  1. Diploma/Bachelor's degree in Secretarial Studies, Administration, Law, or related fields (min. GPA 3.0 preferred).
  2. 12 years of experience as a Legal Secretary, Administrative Assistant, Document Controller, or similar role; experience in a law firm or Legal Department is a plus. Fresh graduates with strong administrative skills are welcome to apply.
  3. Proficient in Google Workspace and Microsoft Office (Excel, Word, PowerPoint). Experience with document management systems (e.g., Exdoma or similar) will be a plus.
  4. Strong understanding of filing systems, document control, and legal/compliance-related documentation.
  5. Excellent attention to detail, organizational skills, and time management.
  6. Able to maintain confidentiality with tact and professionalism.
  7. Good written and verbal communication skills.
  8. Positive attitude, fast learner, and able to work both independently and collaboratively in a fast-paced environment.
