Logistics & Admin Assistant Manager

Location: Indonesia, Jakarta

Reports to: Transport, Customs and Compliance Manager

Your opportunity

The role supports Kering based in Indonesia. You will work closely with local stakeholders (3PL, finance, logistics, administrations, retail operations) as well as regional functions based in Singapore and Malaysia.

First, you are responsible for coordinating and monitoring inbound shipments, inventory and warehouse activities, to secure logistics execution and match expected service level at defined costs. The priority is to reach operational excellence in order fulfilment and reverse logistics, to reach clients and stores on time and meet Brands expectations.

A key aspect of your role is to ensure that logistics flows and processes are compliant with applicable laws and regulations imposed by local governments by providing information, advice and guidance on transportation and trade compliance matters, on all type of Fashion & Jewelry Goods.

Assistance in administrative and finance tasks will be also required.

You will succeed by providing efficient shipments handling and coordinating, formalizing standard operating procedures, reporting and sharing insights to drive efficiency and to support profitability.

You will have a key role of representation towards local offices and administrations. You will communicate with, develop, and maintain positive relationships with both external and internal cross functional partners.

How you will contribute

LOGISTICS

  • Local representative of Kering Logistics to execute operations between Regional Logistics, 3PL Warehouse & Transport team, Brokers, Importers and other logistics partners.
  • Execution and tracking of inbound shipments from Italy, outbound to stores or return to Italy.
  • Local inventory management and movements between warehouses and stores
  • Coordination of logistics between PT Kering Indonesia and the 2 Gucci Retail entities.
  • Documents Issuance & archiving for import and customs clearance (freight bill / warehouse / invoicing).
  • Preparation and signature on regular POAs to initiate shipment and coordinate Surveys.
  • Liaison point for Customs for Trade Compliance and Regulatory aspects, tracking of Deposits amounts.
  • Monitoring of Import Approval (PI) process and quotas along the year.

ADMINISTRATION

  • Acting as local office and company representative, to oversee daily operating activities, incl. administration, external business partners and vendors.
  • Local assistance with processes set-ups (various functions).
  • Inventory Control for the 3 legal entities including monthly closing and reporting, assisted by Regional team.
  • Maintenance of local documentations filing and archive.
  • Authority to sign POA to sign, execute legal documents when needed.
  • Support in local audits, manage stock takes (warehouse cycle-count and stores)

Who you are

  • Bachelor of Science degree in Administration, Business, Supply Chain/Logistics, Finance or related discipline.
  • Minimum 5 years of experience, preferably in Operations / Retail or in a similar industry.
  • Background on Trade and Compliance activities in Indonesia, knowledge of customs requirements for import & export activities is a plus.
  • Proficiency in English and Bahasa Indonesia.
  • Proficient in using MS Office Applications.
  • Independent, collaborative, proactive team player, willingness to learn.
  • Good communication skills, both written and verbal, with the ability to communicate effectively with internal and external stakeholders.
  • Proven attention to detail and multi-tasking abilities, in a fast-paced environment.
  • Be Agile, vigilant and customer focus.
