About the Role
We are looking for a Executive Assistant who will work closely with senior executives and play an important role in managing executive guests, business partners, and key stakeholders.
This position is not limited to administrative support. The Business Assistant will represent the company in various executive engagements and is expected to demonstrate excellent hospitality, communication, business acumen, and professional executive presence.
The ideal candidate is someone who is confident, well-groomed, socially adaptable, fluent in English, and comfortable engaging with senior executives, VIP guests, and business partners in both formal and informal business settings.
Main Responsibilities
- Welcome, receive, and professionally assist executive-level guests, VIPs, clients, and business partners.
- Accompany and assist executive guests during meetings, business visits, corporate events, lunches, dinners, and other business engagements.
- Professionally entertain and engage guests while maintaining appropriate business etiquette and company standards.
- Build and maintain positive relationships with executives, clients, business partners, and other key stakeholders.
- Act as a professional representative of the company when interacting with external stakeholders.
- Coordinate meetings, business dinners, lunches, events, and other executive engagements.
- Understand the background, interests, and business context of guests to facilitate effective communication and relationship building.
- Coordinate with internal teams to ensure a smooth and seamless experience for executive guests.
- Support senior management in preparing and coordinating meetings, events, and business activities.
- Follow up on requests, commitments, and action points resulting from meetings or executive engagements.
- Maintain confidentiality regarding executive matters, business information, and company activities.
- Perform other business-related assignments as required by senior management.
Requirements- Bachelor's degree in Hospitality, Tourism, Communication, Business Administration, Secretary, Management, or related fields.
- Minimum 3 years of professional experience in 5-star hotels, airlines/cabin crew, luxury hospitality, Guest Relations, VIP Services, Executive Assistant, Executive Secretary, Personal Assistant, or similar roles.
- Candidates with experience as Flight Attendant / Cabin Crew, Guest Relations Officer, VIP Guest Relations, Front Office, Butler, or Executive Lounge are highly preferred.
- Fluent in English, both spoken and written, with confidence in communicating with international guests and business partners.
- Excellent communication, interpersonal, and relationship-building skills.
- Strong hospitality and customer-service mindset, with the ability to provide personalized service to executive and VIP guests.
- Well-groomed, polished, and professional in appearance, with the ability to dress appropriately and elegantly for executive meetings, business events, and VIP engagements.
- Strong personal grooming and presentation skills, including appropriate professional makeup/grooming and overall presentation suitable for representing the company.
- Confident and presentable, with strong executive presence and the ability to interact naturally with senior executives, VIPs, and high-profile guests.
- Comfortable with professional business entertainment and hospitality, including accompanying guests for business lunches, dinners, corporate events, and other executive engagements.
- Strong business acumen and willingness to learn and understand the company's business, guests, and business relationships.
- Customer & business-centric mindset, with strong ownership and service orientation.
- Able to read situations, understand guest needs, and proactively provide appropriate assistance without always being instructed.
- Excellent social etiquette, business etiquette, and cultural awareness.
- Mature, discreet, adaptable, and able to handle confidential executive and business matters.
- High level of professionalism, integrity, and discretion.
- Willing to work flexible hours when required for executive meetings, dinners, events, and business engagements.
