Oversee the maintenance of office buildings and facilities, including repairs, renovations, and ensuring all facilities are well-maintained and fully operational.
Manage company assets, including asset registration, inventory, distribution, transfer, and disposal.
Manage the procurement of office operational needs, including office supplies, pantry supplies, office furniture, and other operational requirements.
Source, negotiate, coordinate, and evaluate the performance of vendors and third-party service providers, including security services, cleaning services, building management, travel agencies, office supply vendors, and other suppliers.
Ensure all procurement processes, purchasing activities, vendor contracts, and payment procedures are carried out in accordance with company policies and procedures.
Manage end-to-end business travel arrangements for employees, Directors, and management-level employees, covering both domestic and international business trips.
Coordinate flight, train, hotel, transportation, visa, travel insurance, and other travel-related bookings and administrative requirements.
Coordinate operational support for company activities, including meetings, training sessions, gatherings, and internal or external corporate events.
Requirements
Bachelor's degree in Management, Business Administration, Industrial Engineering, Psychology, or a related field.
Minimum of 3–5 years of experience in General Affairs, Procurement, Facility Management, Office Administration, or a similar role.
Proven experience in budgeting and operational cost control.
Strong experience in office facility management, asset management, procurement, and vendor management.
Proven experience in handling end-to-end business travel arrangements for employees, Directors, and management-level employees, including both domestic and international travel.
Good understanding of procurement administration, asset inventory management, and office operations.
Proficient in using travel booking applications and systems, such as Online Travel Agencies (OTA), Global Distribution Systems (GDS), or other corporate travel management platforms for booking flights, hotels, and business travel accommodations.
Strong negotiation, communication, and coordination skills with both internal stakeholders and external vendors.
Able to work independently, demonstrate strong problem-solving skills, and effectively manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office, particularly Microsoft Excel, Word, and PowerPoint.
Strong administrative, documentation, and reporting skills.
Previous experience in the IT, technology, fintech, or professional services industry will be an advantage.
Experience in office relocation, renovation, or facility development projects will be considered an advantage.
