Manage business visas (single/multiple entry), KITAS (new/extension), IPO reporting, KITAS address updates and any other working permit related documents..
Arrange expatriate transportation and accommodation (hotel & apartment), including utilities, amenities, expense monitoring, cleaning, maintenance, and facility repair.
Coordinate onboarding related matters including ID card photo sessions, building access cards, and parking memberships: provision, invoicing, distribution, database management, and returns/deactivation.
Manage office vehicle operations including schedule vehicle services, renew licenses, insurance, and handle claims.
Manage operational vehicle schedule and cost top-ups reporting to Finance.
Arrange Business Trip consist of organize transportation, accommodation, meeting venues, and international SIM cards for employees.
Handle contract reviews, payment requests, and petty cash related.
Manage all events and logistics, including flower boards, cakes, and other arrangements.
Requirements
Bachelor's degree in Business Administration, Management, or a related field.
Have 2-3 years experience in General Affairs, Expatriate Management, Administrative Operations, or related fields.
Fluent in English is mandatory; Mandarin proficiency is an advantage.
Familiar with visa processing, KITAS/IPO procedures, and Indonesian expatriate regulations.
Experience in invoice processing, expense monitoring, contract management, and asset tracking.
Ability to coordinate business trips, transportation, accommodation, and utilities for expatriates.
Strong coordination and communication skills for liaising with expatriates, vendors, and internal teams; capable of resolving issues efficiently.
Ability to manage multiple tasks simultaneously, ensure compliance, and maintain accurate records.
Proficient in Microsoft Office and familiar with administrative tools for documentation, reporting, and record-keeping.
