Job Description

As our General Affairs and Admin Specialist, you will take full ownership of maintaining corporate documents, supporting cross functional paperwork, and safeguarding valuable company assets. Your primary mission is to build a highly organized, secure, and well structured workplace environment that enables our dynamic teams to perform at their best.

Key Responsibilities

  • Organize, systematically file, and maintain all physical and digital corporate documents, contracts, and legal papers to ensure easy retrieval.
  • Provide robust administrative support by preparing official letters, meeting minutes, internal memos, and operational documents for various departments.
  • Manage, track, and perform regular physical audits of all company assets.
  • Handle the procurement process for office supplies, pantry needs, and operational equipment while maintaining strict budget control.
  • Oversee office facility management, coordinating with building management, cleaning services, and technical vendors to ensure a safe and neat working environment.
  • Supervise the check in and check out log for company assets and manage the distribution of internal equipment to newly onboarded team members.
  • Support the management team in planning internal office events, coordinating operational schedules, and handling general logistical needs.

Requirements

  • Minimum of a Diploma or Bachelor's degree in Business Administration, Management, Secretarial Studies, or a related field.
  • Minimum 1-2 years of solid experience in General Affairs, Office Administration, or Secretarial roles, preferably within a fast paced startup or corporate environment.
  • Highly proficient in using Microsoft Office and Google Workspace, especially Google Sheets and Docs for asset tracking and document creation.
  • Exceptional organizational and archiving skills with a strong eye for detail, neatness, and systematic order.
  • High level of integrity, responsibility, and trustworthiness when handling confidential corporate files and valuable physical assets.
  • Excellent interpersonal and communication skills to coordinate smoothly with building management, external vendors, and internal teams.
  • Proactive problem solver with multitasking abilities and a strong service oriented attitude.
