Job Description:
- Oversee day-to-day facility operations, ensuring all office areas, utilities, and building functions run smoothly and safely.
- Monitor and manage office infrastructure needs, including space utilization, workstation readiness, meeting rooms, equipment, and general facility upkeep.
- Lead the procurement and replenishment of facility-related supplies, such as office stationery, pantry items, maintenance tools, and safety equipment, in coordination with Finance and Procurement.
- Maintain accurate facility asset records, inventory logs, vendor contracts, and service documentation.
- Coordinate facility readiness for new employees, including workstation setup, access card/attendance registration, and issuance of work equipment or uniforms.
- Manage and troubleshoot facility systems, including attendance devices, access control, CCTV, and other operational equipment.
- Supervise facility support staff (drivers, cleaners, office assistants, building management personnel) to ensure service quality and operational standards.
- Oversee preventive and corrective maintenance of building facilities such as air conditioning, generators, electrical systems, and other utilities.
- Coordinate uniform distribution and general facility administrative support as required.
- Prepare facility-related documentation, including internal memos, maintenance schedules, petty cash usage, and operational reports.
- Manage visitor access and building security procedures to maintain a professional and safe environment.
- Provide regular facility performance updates to management and execute additional tasks assigned by superiors.
Requirements:
- Bachelor's degree in Business Administration, Management, or related field.
- Minimum 2 years of experience in general affairs, office administration, or facility management.
- Strong communication and coordination skills with both staff and vendors.
- Detail-oriented, well-organized, and able to multitask effectively.
- Proficient in Microsoft Office or Google Workspace.
