The GA & Purchasing Mid Officer will be responsible for managing daily General Affairs operations and procurement activities to ensure smooth office operations and business support. This role covers office facilities management, internal events (online and offline), basic office asset troubleshooting, vendor coordination, and the implementation of Occupational Health & Safety (K3) programs, including emergency preparedness and disaster mitigation.
Primary Scope General Affairs (60%)
- Manage daily General Affairs operations to support business activities in an IT environment.
- Ensure optimal operation of office facilities, including building, utilities, cleanliness, security, and company assets.
- Prepare and operate company events, both online and offline, such as webinars, RUPS, town halls, client meetings, and internal events.
- Ensure technical readiness of meeting and event equipment (audio, visual, and connectivity).
- Perform basic troubleshooting for office equipment such as printers, scanners, and other office assets.
- Monitor and coordinate the operation of CCTV systems and door access control.
- Manage and supervise operational support teams, including Office Boys, Security, and other supporting personnel.
- Implement Occupational Health & Safety (K3) programs, including:
- Developing and executing Emergency Response Procedures.
- Organizing fire drills, evacuation simulations, and safety awareness sessions.
- Ensuring readiness of fire protection systems (APAR/fire extinguishers, fire alarms, safety signage, evacuation routes, and assembly points).
- Supporting disaster mitigation for fire and earthquake scenarios and coordinating with relevant parties when necessary.
Secondary Scope Purchasing (40%)
- Handle end-to-end procurement processes for goods and services.
- Coordinate with internal users to understand procurement needs and specifications.
- Source, evaluate, and manage vendors and suppliers.
- Conduct price and service negotiations to ensure cost-effectiveness.
- Manage purchasing administration, including quotations, Purchase Orders (PO), invoices, and documentation.
- Ensure procurement activities comply with company policies and SOPs.
Job Requirements
- Minimum Diploma (D3) or Bachelor's Degree (S1) in a relevant field.
- Minimum 2 years of experience in General Affairs and Purchasing.
- BNSP K3 General Certification is mandatory.
- Solid understanding of office operations and facilities management.
- Basic technical knowledge of CCTV, door access systems, meeting/event equipment, and office IT assets.
- Ability to perform basic troubleshooting for printers, scanners, and office equipment.
- Experience in handling procurement processes and vendor coordination.
- Familiarity with HRIS Talenta and/or Darwinbox is preferred.
- Strong communication, coordination, and interpersonal skills.
- Honest, detail-oriented, reliable, and able to work independently as well as in a team.
