Job Description

Hello! We're HBA - The World's No. 1 Hospitality Design Firm. We are currently looking for an Office Administrator to join our team. This role will be covering Reception, daily Operations, and basic FF&E Library maintenance.

The details are as follows:

Operations

  • Support the day-to-day administrative and operational activities of the office.
  • Coordinate office supplies, pantry stock, and general office inventory.
  • Liaise with vendors, building management, and service providers as required.
  • Coordinate courier services, deliveries, and office logistics.
  • Assist in organizing internal meetings, company events, and office activities.
  • Monitor office facilities and report maintenance issues when necessary.
  • Maintain office records and operational documentation.
  • Provide administrative support to various departments as needed.

Reception

  • Welcome and assist visitors, clients, and guests in a professional manner.
  • Answer and direct incoming phone calls and emails.
  • Manage meeting room bookings and prepare meeting spaces.
  • Receive and distribute mail, packages, and deliveries.

FF&E Library Maintenance

  • Maintain the organization and cleanliness of the FF&E materials library.
  • Organize material samples, catalogs, and product information.
  • Track incoming and outgoing material samples.
  • Coordinate with the design team to ensure materials are properly labeled, stored, and updated.
  • Dispose of outdated or damaged samples following internal procedures.

Qualifications

  • Diploma or Bachelor's degree in Business Administration, Hospitality, Interior Design, or a related field.
  • 1–3 years of experience in office administration, operations, reception, or a similar role.
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Detail-oriented with the ability to prioritize multiple tasks.
  • Professional appearance and customer-oriented attitude.
  • Willing to be placed in Kuta Utara, Bali.

Important Note: Applicants must know how to converse in English language (Bahasa Indonesia is a must), as the work will involve communicating with team members from multiple locations.
