Job Description

PT Dian Swastatika Sentosa Tbk or its subsidiaries are looking for high potential candidates to be employed as Executive Secretary with the following details:

Requirements

  1. Bachelor's degree or above from a reputable university
  2. Minimum 3–5 years of experience as a Secretary, Executive Assistant, or in a similar role supporting senior management.
  3. Excellent verbal and written communication skills with proficiency in Mandarin Chinese, Bahasa Indonesia, and English.
  4. Strong organizational and coordination skills with the ability to manage executive calendars, schedule meetings, coordinate appointments, and arrange domestic and international travel.
  5. Demonstrated ability to work accurately under pressure while maintaining professionalism, composure, and attention to detail.
  6. Experience handling VIP guests, business partners, and international visitors with a high level of professionalism and hospitality.
  7. Strong interpersonal and relationship-building skills, with the ability to interact effectively with senior executives, external stakeholders, and guests from diverse backgrounds.
  8. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  9. High level of integrity, discretion, and ability to handle confidential information.
  10. Strong problem-solving skills, proactive attitude, and ability to multitask in a fast-paced environment.

Job Descriptions

  1. Provide comprehensive secretarial and administrative support to senior executives, including managing schedules, appointments, meetings, and business correspondence.
  2. Coordinate domestic and international travel arrangements, including flight bookings, accommodation, transportation, visa applications, and travel itineraries.
  3. Prepare meeting materials, presentations, reports, minutes of meetings, and follow-up action items.
  4. Serve as the primary liaison between executives and internal or external stakeholders, ensuring effective communication and coordination.
  5. Welcome and assist VIP guests, business partners, investors, and overseas visitors, ensuring a professional and positive guest experience.
  6. Provide Mandarin, English, and Bahasa Indonesia communication support during meetings, business visits, and corporate events when required.
  7. Coordinate meeting logistics, conference room arrangements, hospitality services, and event support for executive-level engagements.
  8. Manage incoming correspondence, calls, and inquiries, ensuring timely and professional responses.
  9. Support the planning and execution of company events, business visits, and executive meetings involving local and international stakeholders.
  10. Maintain proper documentation, filing systems, and records related to executive activities and guest visits.
  11. Handle confidential information with the highest level of professionalism and discretion.
  12. Perform other administrative, coordination, and guest relations duties as assigned by management to ensure smooth daily operations.
