Requirements
- Bachelor's degree or above from a reputable university
- Minimum 3–5 years of experience as a Secretary, Executive Assistant, or in a similar role supporting senior management.
- Excellent verbal and written communication skills with proficiency in Mandarin Chinese, Bahasa Indonesia, and English.
- Strong organizational and coordination skills with the ability to manage executive calendars, schedule meetings, coordinate appointments, and arrange domestic and international travel.
- Demonstrated ability to work accurately under pressure while maintaining professionalism, composure, and attention to detail.
- Experience handling VIP guests, business partners, and international visitors with a high level of professionalism and hospitality.
- Strong interpersonal and relationship-building skills, with the ability to interact effectively with senior executives, external stakeholders, and guests from diverse backgrounds.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other administrative tools.
- High level of integrity, discretion, and ability to handle confidential information.
- Strong problem-solving skills, proactive attitude, and ability to multitask in a fast-paced environment.
Job Descriptions
- Provide comprehensive secretarial and administrative support to senior executives, including managing schedules, appointments, meetings, and business correspondence.
- Coordinate domestic and international travel arrangements, including flight bookings, accommodation, transportation, visa applications, and travel itineraries.
- Prepare meeting materials, presentations, reports, minutes of meetings, and follow-up action items.
- Serve as the primary liaison between executives and internal or external stakeholders, ensuring effective communication and coordination.
- Welcome and assist VIP guests, business partners, investors, and overseas visitors, ensuring a professional and positive guest experience.
- Provide Mandarin, English, and Bahasa Indonesia communication support during meetings, business visits, and corporate events when required.
- Coordinate meeting logistics, conference room arrangements, hospitality services, and event support for executive-level engagements.
- Manage incoming correspondence, calls, and inquiries, ensuring timely and professional responses.
- Support the planning and execution of company events, business visits, and executive meetings involving local and international stakeholders.
- Maintain proper documentation, filing systems, and records related to executive activities and guest visits.
- Handle confidential information with the highest level of professionalism and discretion.
- Perform other administrative, coordination, and guest relations duties as assigned by management to ensure smooth daily operations.
