Executive Manager Planning and Operations

Location: Bali, Indonesia

Role Overview

The Executive Manager of Planning and Operations is the senior operational leader for Global Weddings, accountable for end-to-end planning excellence, financial discipline, and operational execution across weddings, events, and associated vertical businesses.

Reporting directly to the Board of Directors in Melbourne, this role ensures the business operates to agreed financial, governance, and quality standards. The role has a strong dotted-line relationship to the Managing Director (based in Bali) and works in close partnership to support strategic planning, execution of weddings and events, and the operational delivery of the Managing Director's portfolio (including support with planning and execution of the MD's own weddings).

This is a hands-on leadership role, balancing strategic oversight with direct ownership of a portfolio of weddings and events, team leadership, financial management, and local compliance in Indonesia.

Key Accountabilities1. Business Planning, Forecasting & Governance

  • Own ongoing forecasting of income, costs, and cash flow, with rolling outlooks provided to the Board
  • Track performance against budget and highlight risks, variances, and corrective actions
  • Support the Board with accurate operational and financial reporting
  • Ensure strong operational governance aligned to Board expectations

2. Wedding & Event Planning Excellence

  • Plan and execute a personal portfolio of weddings and events, delivered to Global Weddings standards
  • Oversee planning and execution across all Global Weddings events
  • Ensure excellence in timelines, suppliers, production, logistics, and on-the-day delivery
  • Maintain accurate, compliant, and well-organised wedding files and documentation
  • Oversee post-event follow-up and continuous improvement

3. Planner Team Leadership & Capability

  • Lead, coach, and performance-manage the Planner team
  • Ensure consistent application of Global Weddings SOPs, templates, and workflows
  • Build planning capability, accountability, and quality standards across the team
  • Sourcing talent and supporting onboarding and training of local planning and operational support roles

4. Financial & Banking Management (Indonesia)

  • Oversee local IDR bank accounts, including monthly reconciliations
  • Manage wedding budgets, supplier payments, and client invoicing
  • Maintain accurate financial records by wedding and business unit
  • Ensure financial controls, approvals, and processes are followed

5. Compliance & Local Business Management

  • Ensure Global Weddings operates in compliance with Indonesian and Bali tax and business regulations
  • Liaise with local advisors to ensure legal, tax, and employment obligations are met
  • Maintain operational practices aligned with local requirements

6. Vertical Business: Wedding & Event Hire

  • Own and manage the wedding and event hire vertical, including furniture and styling assets
  • Oversee warehouse organisation, inventory control, and asset maintenance
  • Manage pricing, utilisation, and profitability of hire items
  • Coordinate photo shoots, listings, and online asset presentation
  • Prepare items for rental or sale as required

7. Seseh Beach Villas In-House Weddings

  • Finalise and manage the Seseh Beach Villas in-house wedding offering
  • Own enquiries, conversion, contracts, and delivery
  • Act as the primary operational contact for villa-based weddings
  • Coordinate with villa operations to ensure seamless execution
  • Drive growth to a target of 4 in-house weddings per year

8. Systems, SOPs & Operational Discipline

  • Enforce consistent use of Global Weddings systems, SOPs, and workflows
  • Identify inefficiencies, risks, or gaps and implement improvements
  • Ensure file integrity, version control, and documentation standards
  • Maintain operational consistency across planning, communication, and delivery

Working Relationship with the Managing Director

The Director of Planning & Operations works in close partnership with the Managing Director, who retains accountability for:

  • Sales leadership and incoming enquiries
  • Marketing, brand strategy, and video content
  • Strategic direction and brand standards and special projects

The Director of Planning & Operations:

  • Supports the MD with planning and execution of the MD's wedding portfolio
  • Ensures operational readiness, capacity planning, and delivery excellence
  • Acts as the operational counterbalance to creative, sales, and brand leadership
