About the role: The Executive Assistant works directly with the Commercial Director and helps move forward projects and directions that don't yet have a dedicated owner. The role requires someone who can quickly get up to speed on new topics, act independently, and stay effective in ambiguous, fast-moving situations.
Responsibilities:
- Acting as the coordination layer between the Commercial Director and internal teams — receiving tasks, delegating to the right people, tracking execution against deadlines, and reporting back on completion. This is the primary and most frequent function of the role.
- Managing and maintaining tasks in YouGile — ensuring correct entries, tracking deadlines, assisting with task creation and status updates.
- Supporting B2B development — researching and reaching out to retail stores and dealers for potential product placement (magnetic screens, smart locks, etc.).
- Assisting with communication with potential suppliers and partners.
- Assisting with order processing and financial calculations for new products.
- Completing ad hoc tasks as directed by the Commercial Director.
Requirements:
- Experience as an assistant, coordinator, or in a similar role
- Hands-on experience with task management tools (Asana, Trello, ClickUp, or similar) — must be confident working within these systems
- Strong proficiency in Google Workspace — Sheets, Docs, Drive
- Ability to manage multiple tasks and deadlines simultaneously
- Good conversational English — able to communicate comfortably with foreign partners
- Proactive, self-driven, and comfortable taking initiative
- Stress-resistant — able to stay organized and calm when juggling priorities across multiple directions
- Comfortable with occasional travel for work purposes
Nice to have:
- Understanding of B2B sales and dealer/retail channel dynamics
- General sales skills — negotiation, outreach, pitching
Reports to: Commercial Director
Compensation Structure
- Trial / Probation Period (First 3 Months)
- Base Salary: IDR 7,000,000
- Performance Bonus (KPI based): up to IDR 2,000,000 (the bonus takes effect in the second month)
- Total Potential Compensation: up to IDR 9,000,000
- Post-Trial Period (Month 4 - 6, upon successful evaluation)
- Base Salary: IDR 8,000,000
- Performance Bonus (KPI based): up to IDR 3,000,000
- Total Potential Compensation: up to IDR 11,000,000
